OBGYN Clerkship Coordinator

Job Description Summary:

The position will work closely with the Clerkship Director and codirectors to coordinate medical student participation in clerkship and elective activities in the Department of OBGYN including but not limited to the thirdyear clerkship fourth year electives and selective coursesa in the department. Responsibilities will include course coordination preparation of orientation materials and coordination of meetings didactics and clinical sessions. The individual will also be responsible for administering examinations collecting and collating grades and evaluation and communicating with the Deans office as directed by the Clerkship Director with the overall aim of maintaining a high quality and efficient clerkship and subinternship educational experience. The individual will assist the Clerkship Directors in communicating on an ongoing basis with faculty physicians and students to resolve scheduling and other issues as may arise with the overall aim of maintaining a high quality and efficient clerkship.

Assist in the administration of Department of OBGYN to ensure programs for the education of medical students are properly organized effective monitored and in compliance with requirements set by KUMCs UME office. This position will also work closely with the Fourth Year Elective Directors Residency Directors and Vice Chair of Education related to education in the Department of OBGYN to provide administrative functions for the unit that may include course coordination preparation of orientation materials course evaluation reports and coordination of meetings and organization education related events.

Job Description:

Key Roles and Responsibilities

Clerkship 3rd Year Medical Students)

Daily: Be available to students daily during regular office hours in person or by phone and email to answer questions. Respond to emails phone calls and messages as soon as possible preferably within 24 hrs. Be prepared to communicate abrupt schedule changes (e.g. in case of faculty illness/absence) to students and Clerkship Director and be available to meet with Clerkship Director if needed and/or communicate page/email as needed. Prepare and collect daily attendance sheets for didactic sessions as appropriate.

Weekly: Attend meetings with Clerkship Director and codirectors. Collect attendance sheet for lectures. Collect student evaluations of lectures. Make students aware of any changes to the lecture schedule as soon as possible. Send reminders to lectures and leaders of casebased discussions and skill sessions for the upcoming week. Collect midclerkship evaluations from faculty or assign students to individual faculty on the Oasis System.

Monthly: Forward clerkship evaluations and preceptor evaluations to Clerkship Director and SOM. Obtain student preferences for upcoming clinic schedule. Create inpatient service schedules for the upcoming group. Upload inpatient service schedules PowerPoint presentations change in lecture scheduled to SharePoint Oasis System and/or email them to students. Maintain all necessary records and files related to medical student education. Attending Phase II and coordinator meetings to review monthly Phase II updates.

Every 8 Weeks: Coordinate and attend orientation with Clerkship Directors. Bring orientation materials to the room (orientation packetssyllabus lecture schedule clinical schedules clinical sites etc. Proctor examinations. Assist clerkship leaders in reviewing PDA logs. Forward the didactic lecture schedule to students and post on SharePoint and Oasis. Send appointments in Outlook to lecturers and leaders of casebased discussions and skill sessions. Upload didactic schedule to SharePoint and Oasis and/or email them to students. Plan and prepare the end of clerkship luncheon. Coordinate scheduling of faculty lecturers and discussion leaders. Coordinate room locations for didactic days. Update the didactic lecture schedule. Help coordinate the Standardized Patient session (typically week 8. Collate PDA logging data for course directors to review.

Every 6 Months: Update clerkship website. Collate student evaluations of lecturers for course directors to review. Report faculty lecturer dates and sessions to the Academic Incentives Committee.

Annually: Review course syllabus for changes. Review faculty preceptor list for changes (e.g. retiring physicians). Collaborate with Department Chair and Clerkship Director on Annual Faculty Evaluation reports.

SubInterns/Electives 4th Year Medical Students)

Daily: Maintain and track SubIntern and Elective schedules and grading. Be available to students daily during regular office hours in person or by phone and email to answer questions. Respond to emails phone calls and messages as soon as possible preferably within 24 hrs. Be prepared to communicate abrupt schedule changes (e.g. in case of faculty illness/absence) to students and SubI/Elective Directors.

Monthly: Forward SubI/Elective evaluations and preceptor evaluations to 4th Year Directors and SOM. Create inpatient service schedules for the upcoming groups. Upload inpatient service schedules PowerPoint presentations Oasis System and/or email them to students. Maintain all necessary records and files related to medical student education. Collect student evaluation forms from elective directors for grading and enter in Oasis System.

Annually: Review course syllabi for changes. Review faculty preceptor list for changes (e.g. retiring physicians). Collaborate with Department Chair and Clerkship Director to review 4th year medical student materials to submit for SLOE/Residency applications. Liaison between clerkship and residency directors to establish and maintain mentorship programs to support medical students in their professional development and residency applications. Manage the OBGYN faculty (CASA) and resident (BORN) mentorship programs by organizing workshop resources and collect medical student career development materials such as resumes cover letters and personal statements to provide to mentors for review.

Note: Position is 100 onsite no remote or hybrid available

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including but not limited to education experience and training qualifications relative to the requirements of the position and funding. At the University of Kansas Medical Center a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range taking into account the combination of factors listed above.
