Description

**** Applicants seeking shortterm or parttime work with the University of Hawaii may apply for Casual Hire positions which include administrative professional and technical (APT) or instructionaltype positions. Because of the temporary nature of these appointments Casual Hire employees are not eligible for most benefits as provided to regular BOR and Civil Service employees. Casual Hire appointments may last for up to 89 days for fulltime employees and up to 1 calendar year for parttime employees.

Salary: $24.85 per hour

Work Schedule: MF 7:45 am 4:30 pm

Permanent/Temporary: Temporary Not to exceed 89 days 40 hrs/week)


Other Conditions: To begin approximately April 2025 for up to 89 days but may end sooner dependent on availability of funding and program need. Must be available to work during office business hours MF 7:45am to 4:30pm.


Duties and Responsibilities

  1. Provide administrative support to the Department of Urban and Regional Planning.
  2. Assist with departmental human resources and fiscal processes. Assist with departmental inquiries on human resources and fiscal matters.
  3. Maintain department files and records management.
  4. Assist Department Chair with academic responsibilities including course scheduling book orders summer student admission summer session and outreach registration and scheduling classroom assignments.
  5. Provide program development support; assist with course modifications needs assessment ongoing new certificate and BAM program development etc.
  6. Assist the department chair with researching and resolving programmatic issues. Communicates with other units on campus to resolve issues.
  7. Assist with the coordination of the departments outreach activities.
  8. Assist with analyzing program data; collecting collating and organizing data in Excel about various aspects of the program for assessment and accreditation purposes (e.g. courses listed number of students enrolled graduates GAs lecturers scholarships courses syllabi alumnirelated information).
  9. Support assessment activities; assist the chair in gathering organizing and updating data on courses enrollment etc. for Manoa assessment and accreditation.
  10. Assist the Department Chair with special projects aligned with college and universitywide program mission or objectives.
  11. Serve as department liaison to other departments and entities.
  12. Supervise and train student assistants.
  13. Other duties as assigned.

Minimum Qualifications

  1. Possession of a baccalaureate degree in arts and sciences business administration or related field and 0 years of progressively responsible professional experience with responsibilities for administrative support; or equivalent education/training or experience.
  2. Demonstrated ability to understand oral and written documentation write reports and procedures and communicate effectively in a variety of situations.
  3. Demonstrated ability to establish and maintain effective working relationships with internal and external organization groups team leaders and members and individuals.
  4. Demonstrated ability to operate a personal computer apply word processing software and spreadsheet software.
  5. Demonstrated ability to lead subordinates manage work priorities and projects and manage employee relations.


Desirable Qualifications

  1. Experience in providing administrative support in a higher education setting.
  2. Working knowledge of University of Hawaii personnel purchasing and course scheduling processes.
