Job Description

As an AU Mortgage Broker Assistant you ll support loan processing by updating systems coordinating with clients and lenders preparing documents and ensuring application accuracy. Youll play a vital role in maintaining workflow efficiency meeting service standards and supporting brokers all while ensuring compliance and delivering excellent service throughout the loan process.

Job Overview

Employment Type: FullTime
Shift: Day Shift Mon Fri 06:00 AM 03:00 PM Weekends Off
Work Setup: Permanent Work From Home

Your Daily Tasks
  • Update core loan processing systems (Broker Platform AOL Simpology etc. to ensure accurate data progress tracking and system maintenance
  • Maintain and update CRM (HubSpot)
  • Communicate directly with clients via phone and email
  • Provide clients with progress updates every two days (minimum)
  • Liaise directly with lenders via portal phone and email to submit documents follow up on status clarify eligibility check rates and answer inquiries
  • Refer any creditcritical issues to the Mortgage Choice Franchisee/Manager
  • Keep the Mortgage Choice Franchisee/Manager updated on all activities
  • Coordinate with stakeholders such as solicitors conveyancers real estate agents and other lenders as needed
  • Prepare and organize required client documents
  • Upload documentation to appropriate Mortgage Choice systems (Google Drive Vault etc. in compliance with standards
  • Remain responsive and available to discuss tasks with the Franchisee/Manager or respond to workflow tickets during working hours
  • Communicate any issues that may affect SLA commitments or client outcomes
  • Complete other tasks as directed by the Mortgage Choice Franchisee/Manager
  • Ensure all loan applications are submitted with complete documentation

Requirements

The Qualifications We Seek

  • Excellent attention to detail
  • Minimum 2 3 years of professional work experience including at least 1 year in Loan Admin role
  • Experience in both customer service and backoffice support functions
  • Solid background in Australian mortgage processes and credit systems
  • Handson experience with ApplyOnline
  • Understanding of secure data handling protocols involving personal information
  • Strong English communication skills (written and verbal)
  • Customer service background and clientfocused mindset
  • Proficient in Microsoft Office Google Drive email calendars and PDF tools
  • Strong IT aptitude with the ability to learn new systems quickly
  • Ability to follow complex loan structures and operational processes
  • Capability to identify and recommend process improvements
