Position Summary
Reporting to the Assistant Vice President for Enrollment Management and University Registrar the Associate Registrar is part of the leadership teams for both the Office of the Registrar and Enrollment Management. As a leader in the office they advise on procedures make recommendations and assess impacts in their area of responsibility. The Associate Registrar promotes student success and continuously improves SF States systems processes and services. They also handle escalated situations with students faculty or other stakeholders providing support and deescalating as necessary.
The Associate Registrar manages and oversees the staff and systems supporting the Academic Advisement and Degree Planner modules in Campus Solutions (CS) as well as the undergraduate graduation process. They must be familiar with registrarrelated modules within CS including Academic Advisement Student Records and Degree Planner. They lead a curriculum working group between the Division of Undergraduate Education and Academic Planning and the Registrars Office. The Associate Registrar collaborates with the Student Records Functional Business Analyst and Academic Advising on a routine basis. The Registrars Office also uses a legacy system for research OnBase for scanned documents and Microsoft Office and the Associate Registrar must be able to use these systems capably.
The Associate Registrar is responsible for recruiting hiring training and evaluating the staff who among other responsibilities 1 evaluate undergraduate degree applications; 2 create and maintain configuration and rules for the DPR and Degree Planner for General Education University Requirements majors and minors; 3 apply substitutions and exceptions to those rules; and 4 work with academic departments to resolve issues concerning web exceptions grading Coursematch enrollments PreRequisite Checking Degree Planner and the Academic Advisement Module in CS. They work with the graduation team and Athletics to determine NCAA Division II eligibility. The Associate Registrar makes and expresses decisions that affect their area of oversight or team members in alignment with the overall leadership decisions and approaches of the Registrars Office.
The Associate Registrar maintains working relationships with Academic Affairs Administration and Finance and other campus units to ensure the views and needs of the Registrars Office as well as our broader cabinet area Student Affairs and Enrollment Management (SAEM) are considered when changes to programs or systems are initiated. These relationships ensure a smooth flow of information and data between the Office of the Registrar and other areas and contribute to compliance with the Family Educational Rights and Privacy Act (FERPA) and all federal state SF State and California State University (CSU) regulations. The Associate Registrar will on an as needed basis collaborate with other areas; this collaboration could involve (but is not limited to) organizing meetings researching options developing testing plans and provide leadership and direction for decisions etc. to ensure campus compliance and that Registrars Office best practices and needs are met.
