Position Overview:
We are seeking an organized detailoriented and proactive Administrative Assistant to join our accounting team. The ideal candidate will play a critical role in supporting daily office operations assisting with administrative tasks and ensuring smooth workflow within the company. The Administrative Assistant will work closely with accounting professionals and provide exceptional support to ensure efficient office management.
Key Responsibilities:
- Provide administrative support to accounting staff including scheduling meetings answering phones and handling emails.
- Prepare and organize client documents reports and correspondence ensuring accuracy and confidentiality.
- Maintain and update filing systems both physical and electronic for easy retrieval of client information.
- Assist in the preparation of financial reports tax documents and other accountingrelated tasks.
- Manage office supplies and inventory ordering materials when necessary.
- Coordinate and schedule appointments meetings and client consultations for accounting team members.
- Process and handle incoming and outgoing mail ensuring timely distribution.
- Assist with preparing organizing and maintaining tax and audit files.
- Handle data entry tasks related to accounting payroll and other administrative duties.
- Support the preparation of client billing invoicing and payment tracking.
- Ensure all office equipment is in good working condition and coordinate repairs if needed.
- Maintain a professional and welcoming environment for clients and visitors.
Requirements
- Proven experience as an administrative assistant or in another clerical role preferably in an accounting or financial setting.
- Basic knowledge of accounting principles is a requirement.
- Proficiency with office software including Microsoft Office Suite (Excel Word Outlook) and accounting software (QuickBooks etc..
- Strong organizational skills and ability to multitask effectively.
- Excellent communication skills both written and verbal.
- High attention to detail with a focus on accuracy and confidentiality.
- Ability to work independently and as part of a team.
- Strong time management skills and the ability to meet deadlines.
