Job Description

Job Summary:

TheProgram Coordinatorfor DowntownIndianapolis NonprofitEntrepreneurship Centerplays a key role in supporting theProgram Managerby handling administrative tasks coordinating events managing program documentation and assisting entrepreneurs in accessing program services. This position requires strong organizational skills attention to detail and the ability to work effectively in a fastpaced missiondriven environment.

Primary Responsibilities:

  • Provide direct administrative support to theProgram Managerand Entrepreneurship Center team.
  • Answer phone calls respond to emails and serve as the first point of contact for program participants and partners.
  • Maintain program calendars schedule appointments and coordinate meetings.
  • Prepare and edit reports presentations and programrelated documents.
  • Process invoices purchase orders and maintain financial records related to program expenses.
  • Organize and maintain both electronic and paper filing systems.
  • Handle confidential information with discretion and professionalism.
  • Assist in planning organizing and executingworkshops networking events and training sessionsfor entrepreneurs.
  • Coordinate event logistics including venue booking catering speaker scheduling and material preparation.
  • Track event attendance and follow up with participants postevent for feedback.
  • Provide onsite support for events ensuring smooth and addressing participant needs.
  • Serve as the first point of contact for entrepreneurs providing information about available programs services and resources.
  • Maintain accurate and uptodate records of program participants and activities.
  • Enter and track program data in spreadsheets databases and reporting systems.

  • Qualifications & Skills:
  • High school diploma or equivalent required;Associates or Bachelors degree in Business Administration Communications Nonprofit Management or a related fieldis preferred.
  • 13 years of administrative experience preferably in a nonprofit or business development setting.
  • Proficiency inMicrosoft Office Suite (Word Excel Outlook PowerPoint)and familiarity withGoogle Workspace tools.
  • Excellent written and verbalcommunication skills.
  • Ability tomultitask prioritize work andmeet deadlinesin a fastpaced environment.
  • Strongorganizational skillsand high attention to detail.
  • Ability to workindependentlywhile maintaining strongteam collaboration.
  • Comfortable working with diverse individuals includingentrepreneurs community leaders and business professionals.
  • Hours: Monday thru Friday 8:30am to 5pm 30 min lunch)
  • Starting Salary: $38000 to $45000
