Job Description

Position Title:Maintenance Office Coordinator
Pay Rate:$18.00 per hour
Work Schedule: Monday Thursday 7:00am3:30pm; Friday 6:00am2:30pm
Fair Schedule (July 18th August 17th): Wednesday Sunday
Position Purpose:
Performs a variety of lead administrative and office duties in support of a department or function within the organization and may lead other Office Assistants. This is a temporary seasonal position not to exceed 122 days.
Essential Functions:
  • Assists the department Supervisor in coordinating department functions programs and special projects with other departments within the organization.
  • Serves as the departments liaison with Human Resources to coordinate and process employee hiring documentation and termination forms.
  • Coordinates employee work schedules as directed by the Supervisor and handles scheduling changes to ensure full coverage.
  • Answers responds to or forwards telephone calls; handles escalated calls in the absence of the Supervisor.
  • Assists walkin traffic to the office including department employees other organizational employees business partners guests and or patrons and shipping / receiving.
  • Dispatches other department employees in response to inquiries and requests from other departments or the public and follows up through resolution.
  • Performs computer data input and generates reports as requested by the Department Supervisor.
  • Leads the work of other Office Assistants and provides training to other office personnel.
  • Files and shreds documents as requested.
  • May schedule meetings and coordinates the department calendar.

Qualifications:
  • Must be at least 18 years of age.
  • Previous clerical and/or administrative office experience required.
  • Good computer skills and demonstrated ability to use Microsoft Word Outlook and Excel necessary.
  • Must be able to type at least 35 words per minute.
  • Ability to successfully handle and prioritize multiple tasks required.
  • Excellent customer service skills and the ability to work well with others a must.
  • Excellent teamwork skills required.
  • Ability to work outside the normal business day/week as demanded by events and programs.
Preferences:
  • Bilingual (English/Spanish) skills

Must be able to sit and stand for extended periods of time.
Work Environment:
Will work in a fastpaced indoor environment and sometimes outdoors. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderately quiet however louder noise levels may be experienced during outdoor events and when in larger event buildings.
