Job Summary
University of Utah Sandy Center is looking for a bright customer service professional to fill the Administrative Assistant Position who under supervision from the Sandy Center Manager coordinates staff and activities required to operate the Sandy Center during afternoon and evening hours. This is a threequarter time benefitted position working MondayThursday from 2:30 pm to 10:00 pm. Hours change during Fall/Spring Semester Breaks and breaks between semesters to Monday Friday from 10:00 am to 5:30 pm. The position is located at the University of Utah Sandy Center: 10011 Centennial Parkway Suite 100 Sandy UT 84070.
Responsibilities
Provides administrative support to Manager by scheduling appointments and coordinating meetings and events. Greets visitors faculty and students. Effectively and tactfully handles problems with students instructors and staff in keeping with policies and procedures. Answers questions regarding the university via telephone email as well as in person. Answers telephones and emails takes messages or transfers calls to appropriate individuals and changes voicemail messages as necessary. Responsible for our leased spaces within the building and class operations during afternoon and evening hours; prepping all rooms before classes; securing all rooms after classes; and closing/alarming the building at closing time. Maintains and reconciles monthly financial statements and handles other accountingrelated projects. Tracks enrollment and proctoring numbers then compiles endofsemester reports. Administers course evaluations and surveys. Assists students and faculty with computer/AV/software use including configuring computers for wireless use; assisting students with technical issues in the computer lab or classroom; maintains classroom AV systems; and assists with Zoom use issues. Coordinates media equipment computer lab study room and other reservation schedules. Oversees proctoring of University of Utah student exams and exams from other colleges and universities. Processes proctoring fees payment. Purchases office supplies tracks inventory pays quarterly bills and completes journal entries as needed. Coordinates with Mountain Alarm and local Police Department to respond to building alarms May assist other departments within University Connected Learning with projects as needed. Other duties as assigned. Problem Solving This position is responsible for solving office problems such as accounts payable issues solving staff faculty and student problems or directing them to someone whom can. Plans and expedites the flow of work while ensuring the smooth operation of the office under the pressure of frequent interruptions and changes in priorities. Minimum Qualifications
Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years fulltime secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
