Position Summary: The Accounts Payable Analyst is responsible for processing invoices maintaining accurate records of financial transactions and ensuring timely payments to vendors and suppliers. This role plays a critical part in maintaining the financial health of the organization by accurately managing accounts payable processes.
Invoice Processing:
Receive review and verify invoices for accuracy and completeness.
Match invoices with purchase orders and receiving documents to ensure proper authorization and goods receipt.
Code invoices with appropriate general ledger account numbers.
Payment Processing:
Process payments by verifying documentation and requesting disbursements.
Prepare and schedule payment runs including checks electronic transfers and ACH payments.
Address payment discrepancies and resolve billing issues with vendors and internal stakeholders.
Ensures outstanding obligations are credited upon payment identifies discount opportunities and issues purchase order amendments or stoppayment orders as needed.
Vendor Management:
Maintain vendor files and records including W9 forms and payment terms.
Communicate with vendors regarding invoice inquiries statements and payment status.
Assist with vendor inquiries and reconciliations as needed.
Account Reconciliation:
Reconcile accounts payable transactions and resolve discrepancies.
Assist in monthend closing processes including accruals and journal entries related to accounts payable.
Compliance and Reporting:
Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
Calculates and reports sales and use tax.
Ensure compliance with company policies procedures and accounting regulations.
Prepare and maintain accurate financial reports related to accounts payable activities.
Assist with audits by providing documentation and support as required.
Qualifications:
High school diploma or equivalent required; Degree in Accounting or related field preferred.
Certified Accounts Payable Professional (CAPP) certification preferred.
Proven experience as an Accounts Payable Clerk or similar role.
Proficiency in accounting software and MS Office particularly Excel and Word.
Strong attention to detail and accuracy in data entry and financial recordkeeping.
Excellent organizational and time management skills with the ability to prioritize tasks effectively.
Effective communication skills both verbal and written.
Ability to maintain confidentiality and work independently and collaboratively in a fastpaced environment.
Physical Demands and Work Environment:
This position typically operates in an office environment. The role may require extended periods of sitting standing or working at a computer.
Occasional lifting of boxes or files may be required.
