POSITION TITLE:International Experiences and Sister School Exchange Coordinator

DEPARTMENT: International Studies

REPORTS TO: Director of International Studies

FLSA: NonExempt

TERM: 10.5 months

Position Summary

The International Experiences and Sister School Exchange Coordinator will plan and prepare service learning and sister school exchange visits in Charlotte. They are also responsible for communicating with parents students and faculty and community representatives regarding international experiences and study exchange programs and events. This position provides orientation sessions for host families study exchange visiting students and international students. The position also continually follows the progress of international students throughout the year and assists the Director of International Studies and the International Curriculum and Operations Coordinator.

Sister School Visits

  • Plan and prepare sister school exchange visits in Charlotte and Country Day sister schools. Planning for visitors includes:
    • Setting up detailed itineraries and events for international students while they are visiting Country Day
    • Pairing the sister school students
    • Working closely with Directors of Studies faculty and Country Day parent volunteers to ensure a profitable and worthwhile exchange
    • Participating in an orientation for parent volunteers
    • Planning the orientation meetings for students and families with Trip Leaders

  • Review Sister School agreements yearly and make changes as needed. Submit to Director of International Studies and Assistant Head of School for approval
  • Communicate the itineraries to all involved and maintain all communications
  • Assist the Director of International Studies in recruiting Country Day students to host and to travel abroad.
  • Prepare orientation packets for host families and conduct host family meetings.
  • Meet exchange groups at the airport and accompany them back to the airport for their departure.
  • Once students arrive assist the Director of International Studies in implementing the orientation for students and assist the Director of International Studies in being the contact person for students host families and visiting chaperones while they are visiting Country Day.
  • Conduct evaluation sessions for Country Day students and study exchange students once the visit is completed.
  • Write thank you notes and/or emails to host families after students leave.
  • Other duties as assigned

International Experiences

  • Prepare all material for experiences
  • Create and update application documents
  • Create and update contracts for students
  • Create and update Trip Leader applications
  • Create budgets for experiences
  • Submit all documents to the Director of International studies for review and approval
  • Work with International Curriculum and Operation Coordinator to receive file and approve all documents and payments from students families and Trip Leaders
  • Create itineraries with the support of the Director of International Studies and International Curriculum and Operation Coordinator

Office Assistance

  • Assist the Director of International Studies on an as needed basis regarding international events on campus and international visitors.
  • Assist with general administrative tasks as needed.

Technical skills

  • Comfortable with utilizing and learning new technology in multimedia formats to be used in orientations promotion and evaluations.

Skills

  • Excellent writing and oral communication skills
  • Extremely competent at detail work and follow through on projects.
  • Ability to be flexible in dealing with a variety of cultures and situations
  • Proactive problem solver with optimistic cando attitude
  • Positive team player with the Office of International Studies and all divisions
  • Enjoy working with students of all ages.
  • Available to attend evening meetings and airport arrivals/departures

Minimum Qualifications

  • Minimum Bachelors Degree in International Studies or similar fields
  • 57 Years of experience
  • Excellent organizational skills
  • Demonstrated excellence in customer service
  • Knowledge of International Programs and Standards
