Position Summary
The eSpelman Operations Support Specialist is a technical resource person in the Office of the Registrar responsible for supporting the student records needs of the eSpelman Program. This position is to provide technical assistance and support as well as serves as the liaison between the offices of the Registrar and the eSpelman Program Spelman Technology Services Division Business Office Financial Aid; and with the Office of Admissions (Data Management Area).
Essential Duties And Responsibilities
Loads and manages course data for eSpelman Program schedule; Monitors and handles scheduling conflicts resolving student registration issues; Coordinates refunding and payment processes with Business Office; Responsible for all postregistration events associated with the eSpelman program (e.g. add/dropping schedule billing issues class roster validation enrollment reports late registration certificate review end of term processing auditing records etc.; Executes all end of term processes for the eSpelman Program relative to academic history (e.g. final grades rolling grades calculating GPA converting I Grades); Provides timely and accurate complex reports to the Director of the eSpelman Program and the Associate Registrar; Creates a calendar of reporting needs and generates appropriate snapshots of the database to support creation of internal and external reports; Develops and maintains an operations manual for the work station;
Physical Demands
While performing the duties of this job the employee is regularly required to: sit walk use hands to handle and operate office equipment including the computer reach with hands and arms talk and hear. The employee is occasionally required to: stand and stoop or kneel or crouch and lift and/or move up to 15 pounds. Specific vision abilities required by this job include the ability to adjust focus.
Required Qualifications
Bachelors degree and three or more years of experience coordinating projects or an equivalent combination of education and experience required. This position requires excellent interpersonal customer service organizational skills. The incumbent must possess the ability to prioritize effectively maintain confidentiality handle matters with tact and diplomacy interact in a diverse community manage details multitask and adapt to changing situations. Must be creative with limited resources and adapt as the office grows. Must be detail oriented. Incumbent must have advanced computer skills in all Microsoft Office Suite (Word Excel and PowerPoint). Knowledge of the BANNER ERP system a plus. In addition to producing correspondence memos and emails must also be able to create spreadsheets tables computer generated graphics and possess proficient Internet navigation and Microsoft Outlook (or similar messaging system).
Preferred Qualifications
Coordinating programs within an online college setting a plus. Two or more years of experience with crossfunctional project teams preferred. One or more years of experience utilizing Ellucian Banner and database reporting tools preferred. Intellectual curiosity towards process improvement preferred. Good oral and written communication skills are important as this position will regularly interact with and communicate ideas with other members of the division and the Spelman community at large in the of responsibilities. The selected candidate should have a thorough working knowledge of administrative software packages and an ability to analyze system processes and workflows and demonstrated analytical skills with the ability to gather and compile data and prepare reports and can demonstrate a working knowledge of SQL and PL/ SQL syntaxes.
