POSITION TITLE: Manager Curriculum Coordination & Academic OperationsPOSITION SUMMARY
The Manager of Curriculum Coordination & Academic Operations provides direct oversight over internal and external curriculum management supervises the Curriculum Analyst and facilitates effective leadership of the design implementation and maintenance of the Enterprise Resource Planning (ERP) system as it pertains to curriculum management and the academic functions of the college.
ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
1.Maintain official college course master file and ensure that all courses offered have been approved by ICCB. Alert appropriate administrator(s) of any issues.
2.Maintain Curriculog and assist faculty department chairs and department secretaries in the completion of forms for curricula development and change. Ensure all appropriate departments are notified of official approval of courses and programs working closely with IT and Institutional Research. Prepare reports and/or requests as needed.
3.Inform IT Institutional Research Financial Aid and Veterans of new modified and withdrawn programs.
4.Troubleshoot any systems problems for users of Curriculog. Train faculty staff and administrators on the use of Curriculog and curriculum policy and procedures.
5.Maintain degree audit databases for all programs in each catalog within college MIS system. Respond to degree audit inquiries regarding possible errors in degree audit. Analyze and compare degree audit programming to approved curriculum and catalog descriptions. Create the new degree audit each year withdrawing inactive or withdrawn programs.
6.Maintain the program descriptions months to completion and related on required screens. Participate in any system upgrades to degree audit.
7.Respond to any requests for curriculum information or compliance projects from financial aid or other student development departments related to degree audit.
8.Lead the ERP design training and maintenance for the curriculum management module and for the division of Academic Affairs.
9.Complete department testing for ERP and systems upgrades/patches: facilitate department programming requests with IT.
10.Process documentation required by ICCB for curricular additions changes and/or withdrawals (including Form 13 20 etc.. Ensure the college is in compliance with state rules and regulations as they relate to new/changed or withdrawn curricula.
11.Supervise the preparation and processing of Form 13s and submission of new curricula and ongoing course reviews to the Illinois Articulation Initiative. Maintain institutional articulation records. Coordinate IAI course review with academic divisions.
12.Maintain the U.S. Department of Defense database of programs for veterans.
13 conjunction with iCampus maintain the syllabus management software system. Supervise Curriculum Analysts review of all faculty syllabi each semester to ensure compliance with state and federal laws and HLC requirements.
14.Supervise the Curriculum Analysts service as the recording secretary of the Curriculum Committee; work with the chairs deans and VPAA to set meeting agendas. Oversee the distribution of information electronically as needed for the meetings. Ensure the maintenance of the Curriculum Committee Handbook as needed for publication.
15.Supervise updates of JJC Academic Affairs webpages as curriculum changes are approved.
16.Supervise the annual update of the college catalog electronic and paper including term guides for all programs and certificates and maintain the electronic system working with instructional departments Student Development Marketing HR and administration.
17. Support the curricular aspects of the accreditation process.
18.Support the HLC substantive change processes related to curriculum
19.Maintain Course Fee list.
20.Collaborate with Student Advising Center to help maintain updates and training for the Student Planning Module.
21.Support faculty and deans in the curriculum development process at the college. Train faculty to complete Form 20 and Form 21.
22.Maintain data for Gainful Employment and ECAR submissions.
23.Resolve registration prerequisite discrepancies.
24.Perform related duties as assigned.
MINIMUM QUALIFICATIONS
1.Bachelors degree; or in lieu of Bachelors Degree must have Associates Degree or equivalent plus 5 years of curriculum development/management experience.
2.Three 3 years of higher education experience related to curriculum development/management.
3.Strong computer software and applications skills.
4.Familiarity with ERP development and maintenance.
5.Experience with database maintenance.
6.Project management or independent problemsolving skills.
7.Strong verbal/written communication and organizational skills.
8.Excellent organizational skills. Ability to manage multiple priorities.
9.Must be detailoriented with special attention to accuracy.
10.Ability to develop and maintain effective and constructive relationships with internal and external stakeholders.
11. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community displaying cultural competence as well as emotional intelligence.
12.Demonstrated commitment to the colleges core values of respect and inclusion sustainability integrity collaboration humor and wellbeing innovation and quality.
PREFERRED QUALIFICATIONS
1.Masters degree.
2.Five 5 years of higher education experience related to curriculum development/management in addition to higher education teaching experience and or academic administrative experience.
3.English and Spanish verbal and written communication proficiency.
4.Demonstrated multicultural competence.
PHYSICAL DEMANDS
1.Normal office physical demands.
2.Ability to travel between campus locations and to and from community events.
WORKING CONDITIONS
Duties are performed indoors in the usual office environment.
