The Administrative Specialist I will provide administrative support to the Offices of Student Experience and Academic and Bar Success. The position will serve as the initial point of contact for the offices greeting students and guests answering phone calls and monitoring and responding to departmental emails. This position will update and maintain the Guidebook/Law Events Calendar. This role is also responsible for performing a variety of administrative duties that help facilitate the daytoday operations of the offices. The person in this position will complete financial transactions perform some accounting for student organizations and the offices upload documents order and track office supplies and equipment provide support for events and programming and compile student information. Additionally this position will be responsible for providing first level information to students regarding College of Law and University resources dates and deadlines academic and student organization handbooks and answering general questions. This position is part of a bargaining unit and is represented by the union SEIU Local 200United.
Responsibilities
Work under the supervision of the Director of Student Experience with dotted line reporting to the Director of Academic and Bar Success to complete all necessary financial paperwork related to operations and student organization accounting including deposit slips requisitions interdepartmental forms purchase orders reimbursements and credit card reconciliations. Work to ensure accurate and timely submission of reconciliations and all accounting paperwork following established policies procedures and deadlines of the College of Law Budget Office. Update and maintain parking mail facilities and other standing IDs. Provide a range of administrative support duties to the Offices of Student Experience and Academic and Bar Success and their associated staffs. Serve as the first point of contact for students faculty staff and others by inperson phone and email; must provide a high level of customer service and confidentiality. Provide first level information to students regarding answers and resources for affiliated departments the College of Law and the University. Office duties include greeting and assisting visitors answering and managing phone calls reading and responding to departmental emails creating completing and managing documents ordering supplies maintaining office equipment and helping to coordinate various programs events and meetings. Support students and student organizations including reserving facilities space for student events scheduling meetings or special events ensuring proper completion and submission of all necessary approvals and forms order catering or other supplies for student organization meetings and events assist with processing financial forms. Editing and revising office correspondence and processes including student organization procedures and guidelines and meeting agreed upon targets and deadlines. Provide backup to other College of Law administrative support professionals as necessary. Crosstrain on webbased and software systems and listservs. Assist as necessary to help coordinate and staff College of Law events including New Student Orientation Convocation Commencement Bar Prep programs and others including those held outside of typical business hours. Other duties as assigned.
