Position Summary

Big Bend Community College is seeking an organized and motivated individual to join our team as a Workforce Education Program Specialist 2. This role offers an opportunity to collaborate with faculty students and community partners in the coordination and management of workforce education programs. The ideal candidate will balance program management stakeholder communication student support and operational tasks to ensure smooth program operations.

Under general direction this position works closely with program faculty and staff to provide instructional student and clerical support primarily for the Computer Science/Systems Administration and Manufacturing and Process Technology programs. Reporting to the Dean of Workforce Education the Program Specialist will work in a team environment to facilitate a positive experience for students. This position is overtime eligible.

Essential Job Duties

Primary essential duties and responsibilities include but will not be limited to the following:

Program Management & Coordination

In this role you will work closely with program faculty to support the instructional duties for courses offered in workforce programs. This includes preparing course documentation grading assignments providing essential course information and offering onsite and remote instructional support. The coordinator will also assist with course and program outcomes and assessments ensuring that all instructional components align with program goals. Additionally this role will support the coordination of laboratory demonstrations including preparation cleaning and maintenance of lab equipment as well as managing inventory materials and maintaining security protocols for all program spaces and equipment. This individual may also oversee the scheduling and coordination of student course and program orientations ensuring seamless transition for all participants. This position will also assist faculty by maintaining a proactive approach to program improvement through continuous evaluation and feedback.

ProblemSolving & Program Operations

A key aspect of this position is problemsolving and addressing operational challenges within the workforce education programs. The Program Specialist will be expected to assist with resolving any issues related to admissions registration advising and financial aid working closely with campus resources to ensure smooth processes for all students. Maintaining accurate program and student data will be critical and you will collaborate with the Admissions & Registration Office to ensure proper student record coding. The role also includes performing clerical and administrative duties to support the programs daily operations. As a Program Specialist you must maintain confidentiality of all student information in compliance with FERPA and other relevant regulations.

Program Outreach and Communication

As the Program Specialist you will play a vital role in outreach and recruitment efforts for Workforce Education programs. This includes representing the program(s) at internal and external events such as career fairs school visits and informational sessions. They will be responsible for providing potential students with program information addressing inquiries and fostering relationships with key internal and external partners. The Program Specialist will also work in collaboration with the Communications Office and program faculty to create and disseminate promotional materials that effectively highlight the program offerings. Attendance at academic and student services meetings is also required to stay aligned with campuswide initiatives and goals. Program Specialists are also required to prepare materials and participate in regular advisory committee meetings including recruitment for new committee members.

Student Engagement and Support

Providing excellent student support is the heart of this role. The Program Specialist will offer academic advising to both potential and continuing students in Workforce Education programs guiding them through their academic journey and addressing any concerns. This individual will be a key resource for students in navigating campus services and solving problems related to their academic and financial needs. Building and maintaining positive relationships with K12 partners and industry representatives within the service district is an essential component of ensuring students are wellinformed and connected to potential career pathways. The Program Specialist will ensure that all students feel supported and are directed to the resources they need to succeed academically.

OTHER WORK ACTIVITIES:

  • Maintain professional growth and development through seminars workshops and professional affiliations to keep abreast of latest trends in field of expertise.
  • Ensure no injuries to self or others by following safe work practices and policies. This includes but is not limited to security and safety understanding of SDS equipment infection control fire disaster safe lifting and body mechanics.
  • Ensure compliance with college policies and procedures and state and federal regulations.
  • Conduct self in a professional manner and ensures the interaction with team members and other support groups is conducted in a courteous and efficient manner conducive to the colleges values.
  • Perform related duties and responsibilities as may be required.

DUTIES OF THE POSITION REQUIRE EXPERIENCE AND KNOWLEDGE IN:

  • Experience using computers spreadsheets data entry and retrieval systems and word processing software including Excel Word and Outlook to accomplish daily work
  • Experience entering and extracting data from database applications.
  • Experience with including prioritizing tasks keeping track of information or work in progress ensuring accuracy multitasking handling interruptions effectively meeting competing deadlines

DUTIES OF THE POSITION REQUIRE THE ABILITY TO:

  • Think critically problem solve and use informed judgement to make independent decisions.
  • Effectively communicate and convey complex information to students staff and the public.
  • Apply independent judgement to apply knowledge of the interpretation and application of laws regulations and policies to a variety of situations.
  • Maintain a high degree of accountability in the application of policies rules and regulations.
  • Make informed decisions and execute job duties independently and with minimal supervision.
  • Multitask in a fastpaced environment manage multiple projects and prioritize duties to meet deadlines.
  • Adhere to and reinforce Family Educational Rights and Privacy Act (FERPA) laws related to the confidentiality and security of student information and records.
  • Demonstrate competency in the ability to provide service in a multicultural and diverse environment.

REQUIRED WORK SCHEDULE AND WORK ENVIRONMENT:

Work is sedentary in nature with frequent repetitive hand and wrist motions. Frequent use of computers and exposure to computer screens in performing work assignments. Frequent need for oral and written communications and ability to successfully monitor inperson and online testing for compliance with outside agencies regulations. Occasional need to kneel stoop crouch crawl reach and lift (up to) 25 lbs. in an office environment.

Basic work schedule is 7:30am to 4:30pm Monday through Thursday and 7:30am to 2:00pm on Friday. Hours may be adjusted to meet the needs of the department college and various events.



Minimum & Desirable Qualifications

MINIMUM QUALIFICATIONS:

At the time of application all candidates must possess the following:

  • Associates degree in Computer Science or Systems Administration or Manufacturing and Process Technology or related program from a regionally accredited institution.
  • One 1 year of Computer Science or Systems Administration or Manufacturing and Process Technology or related program work experience.
  • Direct experience providing quality customer service to internal and external customers.
  • Working knowledge of office software and technology including the Microsoft Office suite (specifically Word Excel PowerPoint Outlook and Teams) and Zoom.
DESIRED QUALIFICATIONS:
  • Bachelors degree from a regionally accredited institution.
  • Previous teaching/training/tutoring experience.
  • Familiarity with Canvas or equivalent learning management system.
  • Previous experience working in higher education.
  • Experience with data management such as collecting storing analyzing and reporting.
  • Bicultural experience.
