Responsibilities and Duties
- Responsible for the work order process. This includes but is not limited to; opening and closing work orders posting labor hours posting mileage and writing clear and accurate descriptions of work performed.
- Ensure that parts labor core charges and other expenses are correct and adequately charged to the work order and internal account.
- Review completed work orders to ensure proper invoicing.
- Submit completed Warranty work orders to the corporate warranty manager or related systems that require minimal changes and adjustments before claim submittal with all supporting documents.
- Must communicate with technicians and management on missing information needed to perform work order maintenance.
- Analyze work in progress (WIP) data sheet for aged work orders that needs to be finalized.
- Scan into Doc records all closed work orders.
- Work with other coordinators and team members to process work orders to close.
- Work with the Centralized PM Manager and CEC management to continuously improve processes and procedures. Provide constructive feedback and suggestions for improvement.
- Perform various administrative assistant duties including but not limited to scanning faxing filing mail sorting and delivering and other related tasks.
- Performs other duties as assigned by the Centralized PM Manager.
Qualifications
- 2year College degree Vocational school graduate or equivalent experience.
- Valid drivers license and a safe driving record.
- Excellent written and verbal communication skills demonstrating and stating facts to all stakeholders.
- Proficient usage of PC hardware/Software (Windows MS Word MS Excel MS Outlook MS PowerPoint).
- Ability to adapt to new software and systems.
- Working knowledge of Manufacturers products (specifications applications operations and structures).
- Understanding of Manufacturers Service Policy and Procedure Manuals
- Detail oriented organized and responsible. Must be able to pass a PreEmployment Criminal Background screening and DOT Drug Test.
Physical Requirements
- Must be able to adhere to prolonged periods of sitting at a desk and working on a computer.
- Must be able to speak and write English and hear to communicate.
- Must be able to lift to 15 pounds occasionally.
- Must be able to use hands to operate office equipment.
