SUMMARY: We are seeking a friendly and organized Receptionist to be the first point of contact in our Workforce Development Office. The ideal candidate will have excellent communication skills a positive attitude and the ability to handle various administrative tasks. This role is essential for creating a welcoming environment for clients and visitors while supporting the offices operations and workforce development initiatives

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greet and assist visitors in a friendly and professional manner directing them to the appropriate person or department.
  • Answer and route incoming calls taking messages when necessary and providing information as needed.
  • Address inquiries and concerns from customers and visitors providing exceptional service at all times.
  • Perform a variety of administrative tasks including data entry filing and maintaining office supplies.
  • Fax copy and mail correspondence.
  • Maintain control of the front office reception area.
  • Ensure the reception area is clean organized and presentable.
  • Assist other departments with administrative tasks and projects as needed.

QUALIFICATIONS: To perform this job successfully an individual must be able to carry out each essential duty satisfactorily. The requirements listed below are representative of the knowledge skills and abilities required.

  • Ability to function at a high level of discretion and confidentiality.
  • Must be a selfstarter and committed to completing tasks in a timely manner which may include working additional hours and/or over the weekend as needed.
  • Must be resourceful and able to work independently as well as in a team setting

EDUCATION and/or EXPERIENCE:

  • A minimum of two 2 years in a receptionist customer service or administrative role preferably in a nonprofit community service or workforce development organization.
  • Experience working with adults in the workforce system and those disconnected from services highly preferred

OTHER SKILLS AND ABILITIES: Personal computer literacy required including effective use of the Internet email video conferencing (Zoom Teams) and Microsoft Office (Word Excel PowerPoint and Outlook).

PHYSICAL DEMANDS: While performing the duties of this job the employee is regularly required to walk sit talk and hear. The employee must occasionally lift and/or move up to 25 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential function.

WORK ENVIRONMENT: The noise level in the work environment is usually moderate.
