You will be updated with latest job alerts via emailBulfinch Temporary Service is looking for a Grant Manager to work at MGHs Radiology Department. The positions begins ASAP and is open ended. The position is 20 hours per week day time hours. Please note this position is temporary in nature and not eligible for benefits.
Under general supervisioncoordinates operational administrative and secretarial aspects of office andresearch work. Requires discretion and judgment to organize priorities andcomplete tasks. Prior experience with proposal writing and management offederal grants is highly desirable. Reports directly to Research Investigatorsand Director.
Principal Duties and Responsibilities
May include duties andresponsibilities of the Clerk Office Assistant and Administrative StaffAssistant Level II as well as:
Grant Management and Research Support 50 Assist theresearch investigators search and identify funding sources compatible withresearch programs in the laboratory. Assist the research director in collectingand preparing materials for proposal development including gathering budgetmaterials and administrative part of the proposal submission forms. Communicatewith coinvestigators in research programs to collect bio sketches andcurriculum vitae to be included in the proposal. Assist in preparing andwriting of grant proposal narratives with figures and tables to be compatible withthe policies/requirement from the funding agency. Work with preawardadministrators to prepare forms for submission of proposals to the fundingagencies. Work with postaward administrators on management of existing grantsby: tracking grants; developing internal reporting systems; writing reports;maintaining excellent historical records; ensuring each project or program ismeeting proposal conditions and expectations. Assist researchers in thepreparation of the text figures and tables of research manuscripts. Proofread the research manuscripts to make them ready for submission. Assist insubmission of manuscripts to journals and tracking the status of themanuscripts.
Ensure that work done at the 3D Clinical Service isproperly billed 10 Incumbentwill serve as a backup for this role for the Administrative Assistant. This role includes making sure the exams areproperly scheduled completed finalized. Information about cases will comefrom the radiology information system (RIS) and RIS reports. It will also benecessary to present to radiologists lists of cases that are unread orimproperly reported for their review prior to billing and to follow up withradiologists and film library staff as needed to maintain current billing. Incumbent will be required to run reports onbilling activity and rectify any inconsistencies according to lab policy.Incumbent will support Administrative Assistant III in this role and willperform all the functions of this work when Administrative Assistant III is notavailable.
Manage Purchases 10 Responsible for submitting accurate and completepurchase orders to materials management. Follows up on all purchase orders andensures that materials are delivered in a timely manner. Manage check requests forindependent contractors employee reimbursement and invoices. Manage and tracksall petty cash transactions.
Manage office space and supplies 10 This includes maintaining the stock of office suppliesand materials necessary for the routine operation as well as handling thepurchase of any items on an as needed basis. Incumbent will be expected torecord all expenditures and provide reports of expenses. Incumbent will beresponsible for maintaining the general condition and neatness of the office spaceas well as any issues relating to materials management. Act as liaison withbuilding management to address issues of lab maintenance and environment.
Performs general clerical duties 20 Includingphotocopying faxing and filing.Management of Directors contacts cv and publication lists.
Knowledge ofmedical terminology and procedures.
Word Processingskills required specifically; Microsoft Word
Knowledge ofRadiology Information System (RIS) preferred
Knowledge ofspreadsheet presentation and database software; Microsoft Excel PowerPointand Access
Good command ofEnglish Language
Grantadministrative experience required.

Education
Bachelors Degree or equivalent preferred
Experience
Minimumone year experience managing NIH grant submission and administration
Minimum two tofour years experience in an office environment.
Fiscal Responsibility
Managementand oversight of grant budgets for 6 principal investigators with a total ofapproximately 16 funded grants and around $3M annual grant budget.
The incumbentwill serve as a backup to manage the clinical billing for the lab.
Working Conditions
Work is performed within theRadiology Computer Aided Diagnostics Lab Offices and the 3D Imaging Servicespace. The lab space is part ofclinical service area and the position involves contact with Radiologists andother staff. Thus the incumbent mustmaintain appropriate professional decorum in the workplace
