You will be updated with latest job alerts via emailUnder general supervision of the Breast Imaging divisionheads and BI management liaises with all departmental role groups andMGH/Outside stakeholders for scheduling Breast Imaging exams. Works with patients over the phone and inperson providing exemplary customer service skills. Demonstrates proficiency in using all automatedsystems to include but not limited to the Breast Imaging ReportingSystem MGH RIS ROE and LMRsystems. Generates and prepares monthlyand adhoc requested reports from the Breast Imaging Reporting System for monitoringand statistical tracking and analysis.Under the direction of BI management acts as a team leader overseeingthe Breast Imaging Staff Assistant II tasks and team members. Works closely with the Breast Imaging NurseNavigator(s) in the coordination scheduling and follow through of interventionalexams. Resolves all patient breastimaging records and documentation in the Breast Imaging Reporting system andenters all required pathology reporting.Assists department administration with the effective management of theoffices daily operations such as weekly payroll radiologist scheduling anddepartmental calendars. Mastery in usingall Microsoft Office applications for the successful electronic exchange ofcommunications and data. Performs in alead role for all customer service initiatives and special events under thedirection of BI division heads and BI managers.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Mayinclude duties and responsibilities of the Clerk Office Assistant StaffAssistant I and II as well as:
Schedulesand resolves all patient scheduled and nonscheduled appointments.
Generatesreports as required using the Breast Imaging Reporting System
Documentsall follow up communications in the BI reporting system
Investigatesand follows through on all BIRADS 0 456 patient results to includecontacting and scheduling screening call back patients short interval andInterventional patients
Schedulesand coordinates outside interpretations accepting both digital media and analogfilms
Recordsthe acceptance and workflow of outsidefilms in the Quickbase application
Responsiblefor mailing back films to the originating institution/provider
Investigatesand resolves patient histories using the LMR system
Followsup with physician offices for patient concerns/issues.
Coordinateswith Client services for the scheduling of International and VIP patients
Workswith Patient advocacy and BI management for the successful resolution ofpatient complaints
ManagesRadiologists personal and professional calendars in addition to the BIdepartment vacation calendar and associated requests
Assistswith the Radiologists monthly workschedules
Engagesand follows through with Building and Grounds for any work environment issuesrequiring resolution
Schedulesand manages the BI conference calendar
Coordinatesand orders departmental meals for special meetings and events
Ordersall office supplies associated with the BI department using the PeopleSoft application
Processesinvoices to accounts payable using the e procurement application withinPeopleSoft
Processesweekly payroll for BI management approval
Attendsdepartment staff meetings and the biweekly breast imaging meeting
Complieswith all HIPPA guidelines and patient privacy regulations
Performsprescreening process for all scheduled exams including investigating and resolving incorrectlyscheduled orders/exams
Contactsall noshow patients for rescheduling
Worksalongside BI radiologists for the coordination and scheduling of yearlyfellowship applicants
Generatesand Prints all reminders recall and results letters
Teamleader for all staff assistant team members under the supervision of BImanagement
Participateson committees such as the Customer Service Counsel and Breast Cancer Awarenessmonth
Assistswith departmental customer service an marketing initiatives such as main campuslobby table promotions for breast wellness
Createsworkflow documentation working with BI management for final signoff
Overseesmaintenance of copier and fax and generates support as needed
Responsiblefor engaging Building and Grounds for environmental issues affectingpatient/employee safety
Performspathology entries into the BI reporting system
Coordinatesall administrative/secretarial aspects of departmental/unit specific programs(i.e. Quality Assurance Program etc..Responsibilities may also include: database design databasemaintenance agenda preparation project scheduling etc.
Performsneeds assessment financial analyses and productivity analyses as they relateto department/organizational programs.
Mayassist with the marketing efforts of a program or unit services.
Effectivelyinteracts with all levels of management.Provides administrative support to Senior Management of Chief ofService.
Handlesconfidential institutional information.
