This position will work under the direction of the Administrative Director of Finance to manage & coordinate all MGH appointments for the monthly professional staff in the Department of Pediatrics. The Credentialing and Appointments Specialist will also serve as liaison with the Medical Staff Office (MSO) and other relevant offices. Position requires a customer service and detailoriented strong performer capable of consistent quality work with well developed organizational interpersonal and both oral and written communication skills.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Manage coordinate and track all aspects of the process necessary to initially appoint & credential and reappoint/recredential all clinical and nonclinical professional staff & trainee appointments in the Department of Pediatrics working closely with the appointee divisions unit chief/administrative staff MSO contacts AD of Finance and other necessary contacts
Manage and track all aspects of the termination of MGH appointments including all aspects/implications of the requested term and/or status change; work with the requesting Dept. to determine appropriate course of action and submit all required paperwork to the necessary offices at MGH
Coordinate timing of appointment and reappointment processing to ensure deadlines are met and paperwork is complete accurate and in compliance with MGH appointment and credentialing policies and procedures
Work to ensure appropriate processes and procedures are in place to ensure an efficient and effective appointment/reappointment process for all involved
Independently work with appointees to obtain completed paperwork timely followup on missing or outdated information or any other items requiring further explanation
Work with the Partners International office and the Department PIPS coordinator to ensure proper Visas are in place for foreign staff/trainees being appointed or reappointed
Monitor initial appointees appointment & credentialing approval dates and keep those involved informed of any delays/issues that may arise
Ensure that all demographic data appointment data etc is accurately entered into the Medical Staff Office database
Assist with facilitating the onboarding of new appointees by sending a welcome/confirmation email with appropriate details completing the new hire or nonemployee form for physicians residing in AD of Finances Peoplesoft tree and working with division contacts for those that do not to ensure they are aware of new appointees start date and that they have the required information to submit the new hire/nonee form
Ensure new staff/current staff are informed of necessary information/policies as the need arises
Followup with professional staff as requested by the Medical Staff Office to assist with obtaining new or updated documentation/information
Maintain and keep information and processes uptodate by ensuring new Medical Staff Office MGH etc. requirements are incorporated into the process as well as keeping letters information checklists and policies/protocols manuals updated
Answer all phone email and facsimile inquiries regarding appointment process or status of appointees
Maintain and identify the need for revision of Department of Pediatrics Appointment & Credentialing Office forms letters checklists policies & procedures manual/protocols etc.
Prepare and provide monthly to the AD of Finance the monthly appointment reappointment and termination report for all clinical and nonclinical appointments.
Manage and keep current the Dept. of Pediatrics faculty appointment database (currently under development)
Electronically file organize & maintain all required documentation that is maintained by the Department for each current appointee and those that have termed
Complete all verfification requests timely as requested by current/past appointees
Handle all fee waivers via MGPO Compensation Committee
Inform AD of Finance of any issues/concerns that arise throughout the appointment & credentialing process for new appointments and reappointments
Manage and perform all other office administrative tasks as related to the position
Manage and complete any other miscellaneous Medical Staff Office projects as needed
Handle any other projects or tasks that may arise
SKILLS/ABILITIES/COMPETENCIES REQUIRED:
Interpersonal and communication skills: Excellent command of English language; strong verbal and written communication skills including knowledge of medical and scientific terminology.
Information Systems/Technology Skills: Exceptional computer skills (MS Office including Outlook Word Excel Powerpoint Access or other database entry email Internet spreadsheets
Time Management Skills: Exceptional organizational skills and ability to organize time and priorities effectively asking for direction when appropriate.Flexibility to handle multiple tasks and deadlines.
Discretion and Confidentiality:Ability to handle sensitive and confidential matters discreetly and to ensure confidentiality guidelines are maintained.
Professional knowledge/Other Skills: Familiarity with general office procedures; scanning faxing copying and filing
Effective analytical skills; Ability to be proactive make appropriate decisions and work independently with minimal supervision

EDUCATION:
High School Diploma Required
Bachelors Degree strongly preferred
EXPERIENCE:
A Minimum of 3 years of related experience required
Professional staff appointment & credentialing experience strongly preferred
Personable ability to work with individuals at all levels of the institution
