Education

Requires a BA/BS in the field of Health Information Management Health Care Administration Human Services Administration and/or related fields.

General Overview:

Exceptional management of patient identity data integrity in the Enterprise Master Patient Index (EMPI) and the Epic Master Patient Index (Epic MPI) is foundational to the linking of patient records within the Partners HealthCare System (PHS) network. The PHS EMPI and Epic databases contain over 6 million patient records and serve as the underpinning of care delivery data exchange analytics and critical business and clinical processes for PHS.

Under the direction of the Corporate Manager of Health Information Services and the Team Lead of EMPI the EMPI Operations Data Analyst I works with PHS entities and affiliates on complex integration and data synchronization projects. The primary responsibility is to provide analytical and operational support in the management and development of the EMPI and the Epic MPI and the synchronization between databases. The Data Analyst I is responsible for maintaining patient identity integrity by using his/her analytical and investigational skills and multiple tools and systems to piece together the patient identity story and independently determine coordinate and execute action needed to remediate identity discrepancies.

Responsibilities:

Participate in developing integration plans for the incorporation of new entities into the EMPI and Epic MPI databases including but not limited to Partners HealthCare Systems entities affiliates High Performance Medicine and Share Care models.

Communicate with end users from an operational perspective to identify business needs and operational processes to develop strategies and solutions in line with PHS IS and HIS standards and strategic direction.

Use exceptional problem solving and investigational skills to identify patient identity discrepancies and determine coordinate and execute appropriate steps to remediate the discrepancies.

Share knowledge of new or developing issues with EMPI management and operations team members for problem solving and process development activities.

Maintain the accuracy reliability and integrity of the EMPI and Epic MPI databases to ensure patient safety for all clinical systems dependent on this data.
Ensure compliance with established PHS policies and procedures related to patient identifier formatting in order to decrease the creation of duplicate medical records across the enterprise.

Work with over 300 participating sites to ensure the data is accurate and updated by reviewing standard department reports on a daily basis as outlined in the EMPI department policies and procedure manual and provide appropriate and timely follow up among all sites utilizing the EMPI and Epic MPI.

Supports external integration and query processes e.g. Dynamic Patient Matching and Epic Care Everywhere.

Ensure accurate and judicious movement and uncoupling of electronic health information on multiple patients maintained in the various clinical applications confirming such moves with senior team members. Exactitude is mandatory since there is a high patient safety risk associated with transfer of patient health information.

Coordinates and/or participates in chart correction activities as appropriate.

Plan prioritize and manage daily workflow to ensure completion of EMPI operational functions and daily responsibilities to support the various site requirements as documented within Service Level Agreements (SLA).

Working with senior team members develop a working knowledge of all departmental policies and procedures as well as all aspects of the functionality of the NextM User Interface (UI) and the Epic MPI application used by the EMPI department.

Understand the effect of departmental operations on PHS entities affiliates and community practices within an integrated delivery network. Attain a general knowledge of all entitylevel information systems (i.e. registration systems master patient indexes emergency registration practices clinical results electronic health record etc).

Analyze and identify root cause of data discrepancies and bring to attention of senior team members and work together to determine the next step in resolving the problem and/or issues.

Participate with internal developmental groups PeC and/or vendors to ensure smooth and coordinated implementation of new products as well as enhancements to existing product lines.

Function as an individual contributor and as a team player within the PHS IS groups PHS entities affiliates and the community practices fostering a positive team approach.

Interact positively and effectively within the EMPI Operational Team the EMPI Technical Team and the PeC teams.

Participate in system testing and implementation including identifying post implementation limitations. Identify data discrepancies and denoting functional improvements with various PMS systems informing senior team member(s) of findings. Work with senior team member(s) on next steps.

Report work progress to upper management on a daily basis denoting issues and/or problems in a timely fashion. Completion of all assigned tasks is expected.

Advocate patient rights to confidentiality through interaction with PHS entities affiliates community practices and the public

Encourage positive interactions and maintain a high level of customer satisfaction. Maintain open communications via emails and phone calls and in person discussions with all customers. Provide quality customer service and serve as an exemplary representative of PHS Information Systems/HIS. Ongoing communication feedback and followthrough with customers and peers is essential

Compile statistical data on a weekly and/or monthly basis for all entities participating in the EMPI and Epic MPI and identify trends and/or issues pertinent to the operations and integrity of the EMPI and Epic MPI database.

Performs other duties as assigned by management
