Job Description
This 30hour per week parttime position assists with the duties of the Clinic Administrative Assistant at the Gebbie Clinic. Responsibilities include managing all scheduling for either the SpeechLanguage or Hearing Clinic ensuring seamless coordination of provider student room and patient availability. The role also involves regularly covering reception duties when the Administrative Assistant is working elsewhere or on vacation/leave handling client communication processing referrals and managing walkin clients. The parttime assistant will help maintain accurate client records facilitate payment and billing for services and support the overall operations of the clinic to ensure highquality patient service and efficient functioning of the teaching clinic.
Responsibilities
Assisting with all aspects of clinic desk operations for Gebbie SpeechLanguage and Hearing Clinics. Greet all visitors including clients walkins vendors research participants students etc. Client checkin and checkout: verify information collect copays provide forms schedule followups. Handle all phone calls and communications from and to clients and outside providers/agencies. Manage and maintain accurate patient records per HIPAA guidelines. Assist with referral and new client management and waitlists. Maintain updated appointment calendars and schedule appointments for providers and clients for either SpeechLanguage or Hearing Clinic. Use electronic medical records system EMR for client communication scheduling records entering charges and patient payments. Assist service providers with administrative tasks client records and communication and routine clinic office tasks. Support clinic directors providers students and other staff members. Participate in collaborative team meetings and collectively support clinical mission. Assist clients with using the patient portal transportation and other needs. Foster positive relationships between clinic and community and within clinic team.
