We are currently looking for the position Operation Support Officer (Administration).
As Operation Support Officer you will coordinate administrative and operational support for vessel port calls crew logistics and officerelated requirements; ensure compliance with company policies local regulations and reporting requirements and maintain efficient coordination with internal departments vendors and authorities. You will report to the Contract Operations Manager.
Responsibilities:
Operational Duties
Coordinate vessel port calls crew and staff changes and official visits (local and international).
Inform all relevant parties on planned logistics and ensure activities are aligned.
Coordinate with agents and crewing teams on port calls flights and itinerary adjustments; arrange gate passes as needed.
Maintain clear tracking of incoming and outgoing personnel and visitors.
Book accommodations and confirm adherence to vendor agreements.
Arrange ground transport and assist with airport meetandgreet services.
Track crew schedules in collaboration with the crewing department.
Ensure visa and work permit compliance for all personnel through coordination with the local agent.
Review and process food orders from vessels using control tools and budget checks.
Maintain constructive relationships with clients port customs and immigration authorities.
Manage local mobile phone/dongle contracts and distribution; and handle office stationery procurement and inventory.
Administrative Duties
Record vessel timesheets and ensure HR and crewing documentation aligns with local content reporting requirements.
Support the Contract Operations Manager in SHEQ HR financial and insurancerelated administration.
Maintain duty rosters and manage scheduling of thirdparty drivers.
Track work hours for local staff; and maintain structured and organized administrative records.
Generate and submit reports as required.
General Duties
Collaborate closely with the Operations Logistic Officer and serve as backup support during absences.
Promote and contribute to workplace safety including ABC Card reporting.
Ensure office and warehouse first aid kits are complete and valid.
Maintain positive engagement with the local community.
Qualifications :
To be successful in this position you will recognize yourselves in the following:
Bachelors degree in Maritime Studies Business Administration or a related field.
35 years of relevant experience in administration or maritime operations.
Prior experience in maritime logistics or vessel coordination is preferred.
Familiarity with local compliance visa and port regulations especially within the Guyanese context.
Strong problemsolving ability and proactive attitude.
Proficient in Microsoft Word and Excel.
Fluent in spoken and written English.
