We are a boutique surety broker specializing in serving large publicly and privately held companies. We are the largest independent suretyonly broker in the world and are committed to providing bespoke surety solutions. We are seeking a dynamic Executive Assistant to join our team.


The Executive Assistant will provide highlevel administrative support to the Partner Head of Financial Sponsors and Executive Vice President Strategy & Firm Architecture. Reporting directly to the Partner and EVP the Executive Assistant provides executive support in a oneontwo working relationship. The Executive Assistant also serves as a liaison to managing members and senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations with strong written and verbal communication administrative and organizational skills and the ability to maintain a realistic balance among multiple priorities.

The role objective:

Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.

The responsibilities include:

  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company
  • Prepare Word Excel PowerPoint presentations agendas reports special projects and other documents in support of objectives for the three leaders
  • Managing calendar(s) including scheduling internal and external appointments confirming meetings coordinating with other assistants
  • Preparing responses to communications directed to professional on significant and nonroutine matters and having the authority to determine what correspondence to handle themselves (even if the executive reviews/signs off on the correspondence)
  • Coordinating travel arrangements including flights visas/passports cars hotels and other reservations
  • Coordinating ongoing group meetings
  • Executing contracts on behalf of the professional
  • Draft and prepare correspondence for internal announcements board meetings and organizations that the executive is involved with
  • Completion of detailed corporate expenses including tracking receipts and reimbursements
  • Maintaining and organizing files
  • CRM entries for the professionals
  • Be responsive to emails/texts/phone calls with contact outside normal business hours
  • Ad hoc projects
  • In office at least 3 times per week
  • Represent the company and the Team in a positive light through great followthrough skills and sound judgment
  • Conserve the Executives time by reading researching collecting and analyzing information as needed in advance.

Qualifications:

The successful candidate should have:

  • 5 years of executive assistant experience supporting senior professionals
  • Ability to utilize discretion and independent judgment
  • Experience redirecting inquiries on behalf of a professional
  • Thrives in a fastpaced environment
  • Strong communication skills; high EQ
  • Highly organized with strong attention to detail
  • Ability to multitask and prioritize competing tasks and deadlines
  • Perform duties with the highest level of confidentiality and integrity
  • Experience with coordinating travel arrangements
  • An autonomous worker with strong followthrough skills
  • Ability to build relationships with key players and management
  • Creative thinker
  • Extensive familiarity with Microsoft suite

The pay range for this position at commencement of employment is expected to be between $70000 to $75000 per year. Base pay offered may vary depending on multiple individualized factors including market location jobrelated knowledge skills and experience. The base salary range for this position will be determined during the interview process and will vary based on multiple factors including but not limited to prior experience relevant expertise current business needs and market factors. Final offered may be outside of this range based on other reasons and individual circumstances.


Additionally salary wages may be only part of the total compensation package. The total compensation package for this position will also include eligibility for an annual discretionary bonus.
