Capable of working efficiently to escalate or resolve identified problems.

Minimum of 35 years of experience.

Proven written and verbal skills.

Strong knowledge of Microsoft Excel Word PowerPoint and Outlook are required.

General Summary:

The Senior Administrative Assistant will provide all the administrative support and work closely with the Executive Director for Radiation Oncology The Executive Director oversees the operations at multiple locations including: Brigham and Womens Hospital DanaFarber Cancer Institute and satellite locations at Milford Hospital South Shore Hospital in Weymouth Libby Park in Weymouth Saint Annes Hospital in Fall River the Saint Annes Regional Cancer Care Center in North Dartmouth and the Brigham and Womens/Sturdy Memorial Radiation Oncology Center in Mansfield Massachusetts. The Senior Administrative Assistant will be responsible for handling a complex calendar arranging meetings creating meeting agendas and taking meeting minutes. The Senior Administrative Assistant will work on monitoring physician quality metrics and will create and maintain various statistical reports. The Senior Administrative Assistant will also work on other projects for the Executive Director. It is expected that the Senior Administrative Assistant will: work effectively in a team environment demonstrate a consistently high level of professionalism and provide excellent consistent customer service.

Description of Responsibilities:

Administrative Assistant

Provides comprehensive support to the Executive Director: includes interfacing with senior Hospital leadership staff as well as management of meetings conference calls data bases basic spreadsheets confidential legal documents files and correspondence.

Responsible for managing confidential communications in a consistently professional timely and discreet manner.

Under the direction of the Executive Director responsible for certain aspects of project management of various ongoing projects.

Proactive calendar management and maintenance for the Executive Director.

Organize several meetings and when required: create agendas attend meetings and take minutes and provide follow up on certain tasks.

Monitor certain quality performance metrics for the physicians.

Create and maintain statistical reports.

Create and design PowerPoint presentations.

Maintain the office suite including ordering office supplies and greeting visitors.

Assist the physicians on Epic open encounters.

Provide support for weekly Chart Rounds.

Handle telephone calls coming into the Executive Director.

Create and maintain a filing system.

Assist in Hospital credentialing appointments and reappointments as needed.

Support physician recruitment. This includes placing online and print ads scheduling candidates tracking interview dates evaluations and organizing search committees.

Organize visits and meetings for visiting professors and vendor representatives.

Input certain invoices into PeopleSoft A/P echeck produce vouchers and forward documents to the accounting department.

Serve as a backup time keeper.

Provide cross coverage to other administrative assistants when required.

Assist with physician competency tracking and physician reappointment paperwork as necessary.
