If you enjoy working with team members whose defining characteristics are exceptional client service initiative professionalism responsiveness and adaptability you may be the person we are seeking to join our Secretarial department in our Los Angeles office as an Assigned Secretary.

Under the general supervision of assigned attorneys and/or supervisor performs complex and specialized secretarial support and legal document processing.

Responsibilities

Essential Functions:

  • Responsible for working knowledge of legal secretary functions including but not limited to: telephone and voicemail procedures; operation of photocopy equipment; efax software and procedures; DTE software and timekeeping procedures; Email procedures; Messenger/UPS/FedEx and other courier services(s) forms and procedures; filing LegalKey and other Records Center procedures
  • Performs input and/or revision of documents in accordance with authors instructions utilizing Firm equipment and software in compliance with Firm standards and procedures. Responsible for transcription from tapes preparing letters and memos; accurately proofreads work product; photocopies assembles and distributes prepared materials as requested; redlines emails or processes documents in accordance with authors request; converts and formats documents using Word styles; repairs corrupt documents using DocX Tools; provides support to attorneys and handles specific projects
  • Responsible for working knowledge of Firm and/or department sponsored equipment and software. These include but not necessarily limited to: scanning software; EFax software and procedures; DeskSite Word 2016 and related software; Best Authority; expense reports and Chrome River procedures.
  • Performs personal timekeeping attendance (time clock stamp) and prepares timecard for timely submission. Provides overtime coverage on occasion as required
  • Litigation desks: Performs filings and efilings knowledge and/or ability to research court and filing requirements and procedures
  • Performs other duties as assigned or required to meet Firm goals and objectives

Qualifications

Education/Training/Certifications:

  • High school diploma required; college degree preferred

Professional Experience:

  • 7 years of experience as a secretary in a legal environment

Technical Skills:

  • Proficiency in Microsoft Office products FileSite management system LegalKey
  • Desks Requiring Litigation Support : Must be knowledgeable and proficient with specific California litigation document formatting procedures

Performance Traits:

  • Excellent grammar punctuation and spelling skills required
  • Possess excellent communication and organization skills with ability to multitask
  • Work in a team environment and effectively support the attorney and support staff with minimal supervision
  • Ability to work independently and anticipate tasks to be completed and perform them as applicable
  • Promote professionalism at all times
  • Strong written and verbal communication skills able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
  • Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
  • Ability to work under pressure meet deadlines with shifting priorities
  • Must be a selfstarter with a high level of initiative
  • Strong customer service skills able to anticipate needs
  • Strong attention to detail organizational skills and the ability to handle multiple projects
  • Maintains confidentiality and exercises discretion
  • Exercises solid strategic thinking and problemsolving skills

The typical pay scale for this position is between $77300 and $102200 although the actual wage or salary could be lower or higher if the candidates education experience skills and internal pay alignment are different from those specified.
