Summary:
Under the general direction of the Program/Office Manager this position will assist in the day to day operational activities of a large research center; helping to maintain an efficient and smooth running department. Serving as a first point of contact for the institute this position is primarily responsible for managing the main telephone line ordering supplies and new office equipment (such as computers software etc) responding to and resolving service and other office related issues. The Staff assistant will provide administrative support to the Program/Office Manager.
Job Duties:
- Greet and direct visitors to the appropriate staff or conference rooms
- Manage main line of the Ragon Institute answer all calls answer many miscellaneous questions take and distribute messages and transfer calls to appropriate staff members
- Order office supplies computer and software orders for Ragon staff
- Maintain inventory database of equipment software computer
- Working directly with our building porter to ensure that deliveries are collected and distributed in a timely fashion
- Assistance w/conference room bookings
- Sort and distribute incoming mail prepare outgoing mail and faxes for distribution
- Assign and/or maintain keys lockers parking access for Ragon staff
- Maintain office filing and storage system
- Type documents reports correspondences etc
- Maintain department databases as needed
- Assist with events for the institute as needed
- Maintain updates to the website directory updates & email directory
- Assisting with the new hires/termination process & monitoring the non employees within the institute
- Working directly with our coffee vendor to maintain supply within the institute
- Provide support with office related projects. Prioritize and organize projects to be completed daily while successfully meeting multiple deadlines. The ability to multitask and juggle multiple priorities are essential.
- Maintain a clean and welcoming lobby environment
- Create/maintain Staff Assistant manual
- Assist with weekly timekeeping duties
- Miscellaneous duties as needed
