REQUIREMENTS:
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:
Typing 55 to 65 WPM required.
Word Processing skills required.
Knowledge of spreadsheets and database systems.
Good command of English language.
Experience with dictaphone preferred.
Ability to work independently.
Ability to prioritize work.
Must be available to work Monday through Thursday from 9:30am until 8:00pm.
SUMMARY:
Under general supervision coordinates all operational administrative and secretarial aspects of an office. Requires discretion and judgment to organize priorities and complete tasks. Reports directly to a Unit Operations Manager.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
May include duties and responsibilities of the Clerk Office Assistant and Administrative Staff Assistant Level I as well as:
Coordinates types proofreads and edits letters memos meeting minutes reports manuscripts correspondence grant proposals and protocols at the highest level of proficiency. Takes shorthand or uses dictation methods as appropriate.
Incorporates data from existing information into spreadsheets/databases in an organized and presentable format. Provides weekly/monthly/yearly reports for various activities. (Unit practice or unit should specify activities and software/hardware to be utilized).
Establishes and maintains office systems (i.e. filing systems) and procedures of the unit practice or department for smooth functioning of workflow. May prepare procedure manuals.
Troubleshoots routine/nonroutine problems and takes measures to correct/handle issues.
Designs coordinates and maintains all confidential files (this may include slide files to be organized for lectures patient files residency or fellowship programs).
Assists in the preparation of presentation materials including but not limited to: graphics slides etc.
Reviews mail answers when appropriate and/or forwards to appropriate persons.
Performs general clerical duties including photocopying faxing and filing.
Assists with the orientation and training of new staff.
Monitors the expense budgets on an ongoing basis; reconciles variances and follows through with appropriate fiscal personnel to make corrections.
May coordinate a services residency/fellowship recruitment program; may process
professional staff appointments.
