Job Description

The Project & Assessment Support Specialist fills a key role in the Division of Diversity Equity and Inclusion by supporting divisionwide and unitlevel special projects and initiatives that involve assessment and program evaluation learning outcomes educational research writing reports and accessing and analyzing data needed for critical decision making. Under general supervision this position is responsible for successfully facilitating the universitys strategic projects including the university strategic plan as well as assessing key initiatives and performance indicators within the Division of Diversity Equity and Inclusion.

The incumbent should have a keen awareness of concepts related to educational equity and continue to refine their approach to incorporating equitymindedness in many facets related to project management assessment and data including planning analysis retrieval consultation providing data to divisional staff and creating reports and data visualizations. Incumbent performs all duties with exceptional skill in organization and project management data (quantitative and qualitative) analysis capability clear communication skills (written and oral) and adapt quickly to various projects that vary in scope audience and context. This position will work with the Vice President for Diversity Equity and Inclusion and other university stakeholders to further the goals and objectives of the supported offices.

Position Specific Responsibilities/Accountabilities

Project Management 60

  • Provide coordination of project schedules to ensure required dates are met. Must be able to generate and manage detailed project plans and establish timelines to ensure milestones are achieved.

  • Work with the VP for Diversity Equity and Inclusion to ensure the change management process is utilized effectively.

  • Interface with other departments staff spotlight initiative leaders and/or other partners in the administration of the strategic projects.

  • Prepare standard project status reports for projects.

  • Assure the creation existence quality and accuracy of necessary project related documentation.

  • Provide coordination of applicable logistics or information as directed.

  • Manage organize and maintain project utilizing data spreadsheets and Cascade project management system.

  • Generate meeting minutes which accurately capture key decisions open issues and action items.

  • Maintain a positive rapport with the project teams.

  • Maintain effective working relationships with the universitys project sponsors and their staff.

  • Communicate timely escalations of issues.

  • Track strategic planning outcomes and key performance indicators across the units with the division.

Data and Assessment 30

  • Support development of program and learning outcomes and the creation of assessment plans for key programs within the Division.

  • Support data collection efforts.

  • Perform indepth data analysis including quantitative statistical and comparative analysis to determine patterns and recognize trends.

  • Ensure accuracy and validity of data.

  • Coordinate with outside vendors for the administration and reporting of the Campus Climate Survey every 34 years.

General Administration 10:

  • Manage project expenses to stay within or under approved budget.

  • Be available occasional nights and weekends as necessary to ensure project support and completion.

  • Perform other duties as assigned or requested.

Requisite Qualifications

  • Typically a bachelors degree or equivalent experience. Incumbent will be expected to continue upgrading knowledge skills and abilities needed to keep abreast of regulation/policy changes.

  • Minimum three years of experience in a similar position with strategic initiative project management monitoring projects deadlines data analytics communicating effectively with stakeholders and maintaining systems. Experience in higher education preferred.

  • Demonstrated knowledge in the following areas:

    • Some understanding of project management methodologies and practices to deliver projects on time on budget and within scope.

    • Some understanding of project management and/or collaborative software & tools; some experience using Cascade software is ideal but not required.

  • Requires knowledge in data collection and analyses techniques. Experience with or ability to learn how to apply knowledge to evaluate and analyze data sources and quantitative and qualitative data and to research and resolve questions problems and organizational issues.

  • Experience utilizing various computer applications (e.g. Excel Qualtrics Google Suite Baseline and Wufoo) to perform duties related to job functions (e.g. create online forms for data collection; extract data; create tables and visualizations; analyze data; and prepare reports). Experience with or ability to learn how to use Tableau as well as basic SQL queries. Basic experience with statistical software packages e.g. SPSS with ability to learn more advanced applications if needed.

  • Demonstrated communication & organizational skills detailorientation ability to multitask and be adaptive. Strong presentation skills.

  • Selfdirected and result oriented; takes ownership of deliverables and deadlines while collaboratively keeping team members focused on tasks.

  • Strong technical analytical problemsolving decisionmaking skills.

  • Demonstrated computer competency.
