Job Description

Overview:

Are you someone who thrives in a fastpaced environment enjoys working with people and takes pride in delivering exceptional service Join our dynamic Conferences & Events team as a Summer Operations Assistant where youll play a key role in creating a smooth welcoming and memorable experience for our summer guests.

Reporting to the Director of Conferences & Events and working closely with the Associate Vice President youll serve as a vital point of contact and problemsolver throughout the summer season. Your ability to stay organized communicate effectively and think on your feet will help ensure that every group and guest enjoys a seamless visit from start to finish.

Key responsibilities include:

  • Acting as a first point of contact by managing the main phone line with professionalism and efficiency.
  • Logging and tracking guest concerns or operational issues in a project management platform and collaborating with campus partners to ensure timely resolutions.
  • Assisting with group checkins by distributing key packets providing directions and ensuring guests are set up for a smooth arrival.
  • Representing the department with a high level of customer service ensuring every interaction is helpful responsive and courteous.
  • This role is perfect for someone who enjoys being part of a team values hospitality and wants to gain handson experience in event logistics and client services.
Training & Employment Dates:

Training: Monday May 18 2025 Friday May 23 2025

Employment Dates:Monday May 18 2025 to Friday August 1 2025. This position will be mostly nights and weekends but may require early mornings or late nights for event coverage. Schedule will vary each week with days off usually occurring on weekdays. Weekend and holiday work is regularly required. About the Department:

Quinnipiac University Conferences & Events is a new department that provides support in the planning and of conferences events and summer programs on campus. Our staff assists external companies and organizations so they can host their events on our beautiful campus. Please visit conferencesandevents.qu for more information.

Summer Benefits:

This position is 2030 hours per week including the following benefits:

  • $16.35 per hour.
  • Free oncampus housing in a single room in a shared suite which has an insuite bathroom and kitchen.
    • Oncampus housing will only be available May 18 August 1. Housing will not be provided outside of those dates.
  • Staff are responsible for providing their own meals but can access the dining hall when it is open.
  • To be eligible to receive the room and board benefits candidates must be available to work over 15 hours a week.
  • Free onsite parking.

Administrative/Office Operations

  • Provide front desk coverage and receive inquiries from clients and campus partners via email phone or in our project management platform.
  • Check participants in and out of the housing database make any necessary room changes
  • Follow up and help resolve open support tickets with staff and service providers.
  • Assist in the preparation of checkin and checkout procedures.

Client Relations

  • Be the first point of contact with clients on campus and ensure client satisfaction.
  • Have a full understanding of each programs operation and daily logistical needs.
  • Greet participants and handle all inquiries providing exceptional customer service.
Qualifications:
  • Strong oral and written communication skills for telephone email and personal contact.
  • Must have a pleasant helpful attitude calm under pressure and enjoy customer service.
  • Must have the ability to encourage and motivate others to work as a part of a team and adhere to deadlines.
  • Attention to detail organized patient and maintain a professional appearance.
  • Highly proficient at managing multiple priorities while exceeding client expectations.
  • Demonstrated ability to multitask and deliver requested results.
  • Willingness to work independently.
  • Candidates must be dependable and thorough.
  • Prior event management software experience is helpful but not required.
  • A strong work ethic and internal drive to continually improve will be expected.
  • Problemsolving skills.
  • Ability to repeatedly lift 25 lbs.
