Job Summary:
We are looking for a highly organized and proactiveExecutive Assistant (EA) to the Directorof our retail brand. The ideal candidate will be responsible for managing schedules coordinating meetings handling confidential communications and ensuring smooth daytoday operations. The role requires exceptional organizational skills strong business acumen and the ability to multitask in a fastpaced retail environment.
- Maintains MDs appointment schedule by planning and scheduling meetings conferences
- teleconferences travel. Assist in ensuring prompt and effective follow up on all Internal and external
- meetings based on Calendar information.
- Single Point of contact from MDs office for all business and administrative tasks/queries.
- Interactions with external agencies on behalf of the MD.
- Responsible for Data Management MIS reporting Dashboard Analysis Presentations Planning
- Strategizing Monthly / Quarterly analysis and reviews and other business management
- Assist MD in data analysis and in key business parameters correlation for taking vital business decisions.
- Hands on experience in preparing analytical reports & undertaking comparative studies. Coordination
- with other department heads for business key parameters movement.
- Preparation of Business presentation for Board.
- Manage and ensure of specific assignments / projects initiated by the MD. Ensuring that
- strategic initiatives are driven across the organization and key projects are tracked and monitored.
- Competition Scanning & Analysis of Industry Peers/New business
Key Responsibilities:
1. Calendar & Meeting Management
- Manage the Directorsdaily schedule appointments and travel plans.
- Coordinate and schedulemeetings conferences and events.
- Prepareagenda minutes and followupsfor key meetings.
- Act as aliaisonbetween internal teams external stakeholders and the Director.
2. Communication & Coordination
- Draft and reviewemails reports presentations and business correspondence.
- Maintain confidentiality while handlingsensitive business information.
- Manage incoming calls messages and requests ensuringeffective communication flow.
- Interface withsenior management clients vendors and other business partners.
3. Travel & Expense Management
- Arrangedomestic and international travel including flights accommodations and logistics.
- Process and trackexpense reports ensuring accuracy and compliance with policies.
4. Business Support & Strategic Assistance
- Assist inmarket research data analysis and presentation preparationfor business reviews.
- Support the Director instrategic decisionmakingby providing relevant insights.
- Coordinate withHR Finance and Operations teamson various initiatives.
- Maintain a strong understanding of theretail industry competitors and trends.
5. Office & Project Management
- Overseeoffice administration tasksto enhance efficiency.
- Track progress onkey business projects and initiatives.
- Assist in organizingcorporate events offsite meetings and team engagements.
Key Skills & Requirements:
- 8 years of experienceas an Executive Assistant preferably in theRetail or FMCG industry.
- Strongorganizational multitasking and time management skills.
- Excellentverbal and written communicationskills.
- High level ofconfidentiality professionalism and attention to detail.
- Proficiency inMS Office (Excel Word PowerPoint) and scheduling tools (Google Calendar Outlook etc..
- Ability to work in afastpaced highpressure environment.
- Strongproblemsolving and decisionmaking abilities.
