Job Summary

Manages the day to day operations for Radiology scheduling. Includes management of a team of Radiology Schedulers serving as a liaison between scheduling and the various facility managers and the referring physicians and contributing to the development and implementation of business processes and goals related to scheduling. Works closely with the preservices team to manage the process for preauthorization. Basic functions and responsibilities include insuring all radiology outpatient exams are scheduled in a timely manner managing staffing to meet call hold time targets and problem resolution.



Essential Functions

  • Contributes to the development and provides daily management of call center processes to ensure high quality patient care and operational efficiency.
  • Maintains expert knowledge of uptodate ICD10 CPT and Medical Necessity requirements and incorporates into scheduling processes to support a seamless patient experience.
  • Maintains working knowledge of exam protocols that impact scheduling and updates scheduling processes accordingly.
  • Maintains responsibility for personnel management including hiring time keeping performance appraisals quality assurance policy interpretation employee relations and counseling according to department and hospital policies.
  • Assists in the preparation of the annual capital equipment and operational budget. Participates in quality assurance and improvement activities to maintain compliance and drive standardization and efficiency within areas of responsibility
  • Serves as a Radiology liaison with other areas within and outside of Radiology.
  • Addresses patient physician and employee complaints. Identifies problem areas and makes procedure modifications and coaches employees to improve customer service.
  • Utilizes provided statistical data/reports to manage and improve overall performance on key metrics such as talk time calls returned to queue time in not ready average hold time service level etc. and provide coaching to employees on opportunities for improvement.
  • Conducts regular staff meetings. Communicates information effectively to all staff. Attends and coordinates appropriate department meetings with staff. (i.e. inservice programs and employee development).
  • Coordinates training for all scheduling employees on the Scheduling System radiology infrastructure and business processes related to scheduling radiology procedures for the newborn pediatric adolescent adult and geriatric population of patients.

Physical Requirements
Predominantly office environment with filing typing and statistical management with occasional exposure to the technical areas of the department. Works in multiple facilities. Must be able to effectively communicate with physicians nurses technical staff ancillary staff engineers user departments and outside vendors. Works with computers calculators Radiology Information System Picture Archiving and Communications Systems. Finger dexterity required. Each employee has the responsibility to work in a safe manner.



Education Experience and Certifications

High School graduate or equivalent required. Three years of previous leadership experience required 5 years preferred. Bachelor of Science degree in a related field or completion of an AMA approved School of Radiological Technology and certification by the American Registry of Radiological Technologists preferred.
