Summary
- Individual will assist and coordinate activities of the Chief Civil Prosecutor and Commissioners Court Attorneys. Individual has daily contact with the public governmental officials and agencies and is also responsible for maintaining calendars files Public Information requests Expunctions NISIs and other tasks as directed. Individual may also be required to perform research in various areas of law as directed by the attorneys to whom assigned.
Essential Duties and Responsibilities
- To perform this job successfully an individual must be able to perform each essential duty satisfactorily. Duties include the following:CALENDAR:
- Maintain calendar pertaining to scheduling meetings and other activities for attorneys court dates deadlines contract renewals public information requests etc.
FILES:- Prepare and maintain files including assigning file numbers scanning documents data entry completing log sheet labeling files sorting and filing documents etc.
- Draft and prepare correspondence and legal documents as per attorneys instructions.
- Maintain centralized filing systems including electronic filing and hardcopy filing.
PRESENTATIONS:- Prepare posters exhibits PowerPoint presentations etc.
LEGAL RESEARCH:- Perform legal research in various areas of law as directed by the attorneys.
- Compile and organize research done by attorneys.
PUBLIC INFORMATION REQUESTS:- Coordinate Public Information Requests with department heads and elected officials.
- Track relevant deadlines and compile documents responsive to the request.
- Prepare and maintain file on each request.
- Draft notice letters and briefs for review by attorneys and submission to Attorney General.
- Mail out responses to requests letters and briefs as appropriate.
EXPUNCTIONS/NONDISCLOSURES:- Receive Expunction/NonDisclosure Petitions.
- Track relevant deadlines and compile documents related to Expunction/NonDisclosure Petitions.
- Prepare and maintain file for each petition.
- Draft responsive pleadings cover letters and motions and submit to Prosecutor assigned to docket.
- File with Court States Pleadings and Motions and mail out responses letters and pleadings as appropriate.
MISCELLANEOUS:- Answer attorneys phones and deliver messages.
- Draft emails letters and other correspondence on behalf of the attorneys.
- Communicate with department heads and elected officials regarding status of projects cases research etc.
- General clerical duties including copying typing filing etc.
- Maintain office equipment and coordinate with appropriate department when repairs are necessary.
- Maintain confidentiality of privileged and sensitive data or information.
- Assist as necessary with asset forfeitures mental commitments expunctions and bond forfeitures.
- Cover duties of other legal assistants or clerks when necessary.
- Attendance is an essential function of the job.

- EDUCATION AND EXPERIENCEHigh School diploma or GED equivalent is required. Paralegal certification is preferred but not required. The individual should possess a thorough working knowledge of clerical procedures and practices. Two 2 to three 3 years of relevant legal experience or equivalent combination of education and experience is required. Computer skills are required Microsoft Office including Word Excel Outlook PowerPoint.OTHER SKILLS AND ABILITIESPossess a general working knowledge of the legal field specifically civil criminal and governmental law. Ability to maintain a systematic approach to organizing files and managing a centralized filing system. Ability to follow instructions and guidelines to perform the functions of the job. Possess excellent communication and organizational skills strong interpersonal skills and a proven record as a team player. Ability to perform multitask projects effectively meet deadlines prioritize an everchanging work flow and perform under pressure. Ability to work with minimal supervision and interface with all levels of employees including elected officials and department heads. Ability to exercise considerable judgment and discretion in completing assignments.
Desired Minimum Qualifications
LANGUAGE SKILLS
Ability to read and comprehend instructions. Ability to write correspondence including letters emails and memos. Ability to effectively communicate effectively and efficiently with attorneys staff department heads and elected officials in both office and public settings.
MATHEMATICAL SKILLS
Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals. Ability to compute rate ratio and percent and to draw and interpret graphs.
REASONING ABILITY
Ability to apply commonsense understanding to carry out instructions furnished in written oral or diagram form. Ability to manage and handle problems that arise in the performance of job duties.
