Thrive Pet Healthcare Specialists San Antonio is seeking FullTime Lead Client Service Representative to join our AMAZING team!
Position Overview:
The purpose of this position is to supervise direct plan coordinate and perform a variety of duties related to customer service. This supports TPHS standards core values and processes ensuring quality care for clients and their pets while promoting greater efficiency.
A customer service representative lead (CSR lead) must have a flexible schedule to meet the needs of TPHS. They must be proficient in all CSR daily tasks. Spends majority of the time on customer service representative duties. Must be able to balance CSR tasks with special projects implementation of new ideas and procedures. While performing these duties observe and evaluate other CSRs to guide assist and coach them. Also remember that the CSR lead is setting an example for all other CSRs. Prioritizes and completes projects in a timely manner with primary focus being support of CSR team.
Must be able to withstand unpleasant orders and noises. May be exposed to bites scratches animal waste and contagious diseases.
Reporting Structure: Directly reports to Office Manager may also receive direction from Practice Manager Medical Director and Technician Managers.
Lead duties:
- Coaches a supervised group for strong performance and productivity in the delivery of outstanding customer service.
- Checking in and touching base with department staff/ providing feedback for staff reviews. Along with Office Manager facilitate an environment of ongoing communication and feedback.
- Scheduling interviews for candidates when CSR position is open for hire and conducting phone interviews.
- Assist in training new CSR team members.
- Helping office manager prepare for department meetings.
- Meeting and touching base with Office Manager weekly.
- Demonstrates highly advanced proficiency and knowledge of TPHS policies and procedures Special projects & assignments delegated from office manager and leadership
- Oversee the creation and adjustment of Standard Operating Procedures (SOPs) for CSR department.
- Works very closely with the CSR department and all other departments in hospital while keeping open dialogue and direct communication.
- Manage the reception teams workload to always ensure adequate coverage.
- Assists with emergency scheduling and will fill in for other employees as needed.
- Participate in monthly CSR department meetings to discuss updates address concerns and promote continuous improvement. Help coordinate & host additional training sessions for CSR department as needed.
- Other related duties as assigned.
Qualifications:
- High school diploma or equivalent required; associate or bachelors degree in business healthcare or related field preferred.
- Minimum of 3 years of CSR experience in a veterinary hospital preferred with at least one year in a supervisory role highly preferred.
- Fear Free Certification completion within one year of obtaining position.
- Thrive Elevate EQ Foundations & Active Listening course certification completion within one year of obtaining position.
Skills & Abilities:
- Must be able to work day mid and overnight shifts when necessary.
- Must be able to sit for extended periods stand walk stoop kneel crouch on occasions.
- Must be able to operate standard office equipment and occasionally lift carry or move up to 50 pounds.
- Direct communication with staff in a positive empathetic solutionbased and supportive manner.
- Strong organization/time management skills: able to set prioritize and attain goals with attention to detail. Ability to complete assigned tasks without direct supervision.
- Customer service communication with clients on the phone and in person with positivity empathy and understanding. A commitment to outstanding customer service.
- Knowledge of spelling and meaning of commonly used veterinary terminology.
- Strong analytical thinking skills: ability to use objective data to solve problems/create solutions.
- Demonstrated competency with standard office equipment as well as computer & website software such as Microsoft Office suite applications EzyVet Workday VetSource and Jobvite.
- Demonstrated ability to perform clerical work with speed and accuracy use a multiple line telephone system and handle cash and other forms of payment.
