We are seeking an organized and proactive Legal Secretary to join our team in the Boston MA office (hybrid). In this role you will provide essential administrative support to attorneys helping ensure smooth and efficient office operations while managing various clerical and organizational tasks.
Key Responsibilities:
- Manage attorney calendars schedules and time records.
- Answer screen and place phone calls; route mail as directed.
- Maintain and organize files both physical and electronic ensuring timely and accurate filing of documents.
- Prepare attorney expense reports and assist with other administrative tasks as needed.
- Handle email management (with permission) including organizing email folders and prioritizing messages.
- Assist in the preparation of engagement letters client/matter memos and new business documentation.
- Maintain accurate billing records track client activities and coordinate with billing teams to ensure timely and accurate invoicing.
- Prepare and process legal documents including drafting redlining and creating PDFs.
- Provide business development support including maintaining contacts and tracking activities in relevant software systems.
- Manage complex travel arrangements and visa requirements for attorneys.
- Process vendor invoices and handle check requests.
- Coordinate and delegate tasks as needed ensuring work is completed accurately and on time.
- Provide support for technologyrelated matters in collaboration with IT staff.
- Perform general administrative duties including printing scanning faxing and delivering packages.
- Assist with special projects as assigned ensuring highquality and timely completion.
Qualifications:
- Proficiency in Microsoft Office (Word Excel Outlook PowerPoint) and the ability to quickly learn new software programs.
- Excellent written and verbal communication skills.
- Strong attention to detail with the ability to prioritize tasks and manage shifting priorities in a fastpaced environment.
- Ability to work independently and as part of a collaborative team.
- High level of professionalism and ability to handle confidential information with discretion.
- Flexibility and willingness to take on a variety of tasks including those outside routine expectations.
- Ability to sit for long periods use both hands repetitively and lift up to 10 pounds.
- Ability to work inoffice at least four days per week to maintain physical files and provide client support services.
Education & Experience:
- High school diploma or equivalent.
- At least three years of experience in a legal or office environment or an equivalent combination of education and experience.
