To provide administrative services associated with the office of the Chief/Medical Director of Psychiatry & Mental Health Services Department.
Graduate of postsecondary secretarial/business administration program.
Medical terminology course completion.
3 years in progressively responsible clerical position(s).
Administrative support experience is essential
Welldeveloped verbal and written communication skills.
Ability to organize/prioritize multiple tasks and meet deadlines must be able to make decisions and use appropriate initiative.
Ability to maintain confidentiality of patient and hospital information.
Advanced computer skills specifically Microsoft Office applications.
Answers telephone takes messages screens and reroutes calls.
Respond to callers inquiries and requests and receive visitors and staff.
Takes minutes of staff meetings and prepares reports for distribution re: above.
Types letters memos reports and other correspondence from handwritten and machine dictation.
Sets up and maintains files.
Composes correspondence for the Chief/Medical Director of Psychiatry / Mental Health Services Department (including Human Resources correspondence).
Arranges meetings and assemble material for meetings.
Orders office supplies and stationery.
Sets up duty roster for psychiatric staff.
Collects statistical data (workload sessional and other as requested) and compiles appropriate reports.
Other duties as assigned.
