Position Summary
The Operations Manager Technology Portfolio will play a critical role in optimizing daily legal operations and lead the departments technology project portfolio. Reporting to the Senior Director of Operations this role will drive the transformation and continuous improvement of systems and processes coordinating crossfunctional efforts. This role partners closely with legal and business stakeholders including Technology. This position entails overseeing project lifecycles ensuring timely delivery within scope and budget and maintaining clear communication with project resources and stakeholders across time zones.

Key Responsibilities

Portfolio Management

  • Manage the portfolio of technology projects maintaining consistent progress through clear project plans active communication and attention to deadlines. Lead across the project lifecyclefrom business case development to implementation and change management.
  • Track tasks projects and time management ensuring alignment with business objectives.
  • Identify and address resource or scheduling conflicts collaborating with project managers and leadership to resolve issues.

Project Management & Process Improvement

  • Collaborate with internal stakeholders to identify and streamline work processes. Analyze and document current business processes then collaborate with stakeholders to design solutions.
  • Facilitate stakeholder interviews workshops and design sessions to capture business needs and translate them into actionable project plans user stories and technical requirements.
  • Organize regular technology showcases and pilots to evaluate potential solutions gather feedback and recommend options including pricing and deployment plans.
  • Translate business requirements into functional specifications and project milestones.
  • Lead vendor review and selection processes including managing RFPs contract reviews and risk assessments.
  • Perform detailed project planning including process design data migration quality assurance and user acceptance testing.
  • Manage project deliverables by coordinating internal and external resources keeping projects on schedule within scope and on budget.

Technology Enablement & Training

  • Develop and execute communication training and documentation strategies for stakeholders.
  • Serve as system administrator for assigned legal technology platforms driving adoption user engagement and feedback loops.
  • Track user experience metrics and coordinate engagement surveys to inform continuous improvement

Reporting & Presentation

  • Deliver polished presentations dashboards status reports business recommendations and quarterly business reviews.
  • Define key metrics on risk and performance. Ensure performance against KPIs is measured and reported on a regular cadence.

Additional Responsibilities

  • Provide backup support for Operations team members as needed.

Qualifications

  • Bachelors degree in business administration management technology engineering or operations (preferred). Certifications in Agile (Scrum Master) or Six Sigma experience highly desired.
  • Minimum 45 years as a Business Analyst or Project Manager in a corporate legal project management office or management consulting environment.
  • Strong interpersonal and collaborative skills a proactive orientation with the ability to influence and build credibility and consensus across diverse stakeholders.Prior experience with attorney client group preferred.
  • Demonstrated experience with portfolio and project management in fastpaced and datadriven settings. Proven success in adapting to changes resolving conflicting priorities and delivering results on time.
  • Technical knowledge of legal technologies relational databases SharePoint Power Automate RPA NLP and Generative AI tools required. Some coding / developer experience highly desired.

In accordance with applicable law Hearst is required to include a reasonable estimate of the compensation for this role if hired in New York City. The reasonable estimate if hired in New York City is $120000$140000. Please note this information is specific to those hired in New York City. If this role is open to candidates outside of New York City the salary range would be aligned to that specific location. A final decision on the successful candidates starting salary will be based on a number of permissible nondiscriminatory factors including but not limited to skills and experience training certifications and education.
