Commercial Lines Account Assistant

Job Summary:

The Commercial Lines Account Assistant is responsible for providing administrative and operational support to the Commercial Lines Account Managers and other team members. This role includes assisting with the processing and management of commercial insurance policies handling client inquiries preparing documentation and ensuring timely delivery of services. The Commercial Lines Account Assistant plays a key role in supporting the daytoday operations of the commercial insurance department ensuring efficient workflows and client satisfaction.

Key Responsibilities:

  • Policy Administration:

    • Assist with the preparation and issuance of commercial insurance policies endorsements certificates of insurance and other related documents.
    • Help process new business renewals endorsements and cancellations for commercial clients ensuring accuracy and compliance with company standards.
    • Maintain and update client files in the agency management system ensuring all relevant information is complete and uptodate.
  • Client Support and Communication:

    • Serve as a point of contact for clients answering questions related to their policies billing inquiries and insurance coverage.
    • Assist with the preparation and distribution of policyholder correspondence such as renewal notices policy changes and certificates of insurance.
    • Assist in preparing clients for meetings by gathering necessary documentation and reports.
  • Claims Assistance:

    • Support clients with claimsrelated inquiries by helping them understand the claims process providing claim forms and coordinating with the claims department as needed.
    • Follow up on the status of claims and ensure that clients receive timely updates on their claim progress.
  • Internal Coordination and Support:

    • Collaborate with Account Managers producers underwriters and other team members to ensure that all client needs are met.
    • Assist in managing workflows and ensure deadlines are met for processing policy changes renewals and other clientrelated tasks.
    • Help track renewal dates policy expirations and other key dates ensuring no gaps in coverage for clients.
  • Documentation and Reporting:

    • Maintain accurate records of client communications transactions and policy details within the agency management system.
    • Assist with preparing reports related to account status renewal activity and other metrics as requested by Account Managers or leadership.
  • Administrative Support:

    • Provide general administrative support to the commercial lines team including scheduling meetings organizing documents and handling client communications.
    • Assist with other office duties such as filing photocopying faxing and maintaining physical and digital records.
  • Customer Service:

    • Provide exceptional customer service by addressing client concerns or issues and escalating them to the appropriate Account Manager or department as needed.
    • Help clients navigate their insurance options and explain coverage billing and renewal processes clearly.

Qualifications:

  • Education:

    • High school diploma or equivalent required; Associates or Bachelors degree in business insurance or a related field preferred.
  • Experience:

    • 13 years of experience in commercial insurance or administrative roles is preferred.
    • Experience with commercial lines policies insurance terminology or working in an insurance agency environment is a plus.
  • Skills:

    • Strong organizational and timemanagement skills with the ability to handle multiple tasks and priorities in a fastpaced environment.
    • Excellent communication skills both written and verbal with the ability to interact effectively with clients colleagues and underwriters.
    • Attention to detail and a strong ability to accurately process information.
    • Proficiency in Microsoft Office Suite (Excel Word PowerPoint Outlook) and familiarity with agency management systems or insurance software.
    • Basic understanding of commercial insurance policies and industry terminology is preferred but not required.
  • Licensing:

    • Insurance license (or willingness to obtain) in commercial lines may be required depending on state regulations.
