Job Description

FRONT DESK OFFICE MANAGER

Position Overview:

The Front Desk Office Manager will be responsible for managing front office operations greeting clients and visitors answering calls scheduling appointments and ensuring the smooth running of office activities. This role will also involve managing office supplies coordinating meetings and providing administrative support to attorneys and staff. The ideal candidate will have excellent communication skills a professional demeanor and the ability to multitask in a fastpaced environment.

Key Responsibilities:

  • Serve as the first point of contact for clients visitors and vendors providing a welcoming and professional atmosphere.
  • Answer phone calls emails and inperson inquiries directing them to the appropriate team member as needed.
  • Ensure proper checkin procedures for visitors including managing guest access and providing necessary information.
  • Maintain a clean and organized front desk area and reception space.
  • Coordinate office activities including scheduling meetings conference room bookings and coordinating office events or conferences.
  • Manage office supplies inventory placing orders and ensuring supplies are stocked and readily available.
  • Assist in maintaining office equipment and troubleshooting basic issues (e.g. printers phones etc..
  • Process incoming and outgoing mail packages and deliveries.

Qualifications:

  • High school diploma or equivalent; associates or bachelors degree preferred.
  • Minimum of 2 years of experience in a front desk or office management role preferably in a law firm or professional office setting.
  • Strong organizational and multitasking abilities with a keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word Excel Outlook) and office management software.
  • Professional appearance and demeanor with a customerfocused approach.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Ability to work well independently and as part of a team in a fastpaced environment.

Preferred Qualifications:

  • Previous experience in a law firm or legal office setting.
  • Familiarity with legal terminology and basic office legal procedures.
  • Experience with office management software and scheduling tools.

This position is located in our Cleveland Ohio office. Hours are 8:30 a.m. to 5:30 p.m. (Monday through Friday) but additional hours could be required as necessary. The firm offers full benefits including paid holidays and vacation health care insurance and an excellent work environment.
