MGIS is seeking three 3 resources to support the work being undertaken in the modernization record management and disposal of obsolete paper records.
Tasks and Activities:
Quality Assurance of Records Being Disposed
- Perform a quality assurance function to verify document accuracy by comparing the paper files with the scanned versions to ensure that scanned copies contain all of the information and ensuring that the scanned information is legible;
- Manage the file room by placing the verified files in specially marked boxes;
- Label files according to retention and disposal schedules;
- Create a list/tracker of all the files contained in each box and identify the retention period of the documents;
- Ensure the adherence to policies and strategies using records management systems and information management;
- Gather statistics and data to prepare routine reports;
- Compile statistics on activities within records services;
- Support system administrator in documenting business processes and work instructions
- Assist in the preparation of files for retention and disposal.
Support Paper File Disposal
- Remove binders hard covers metal large paper clips plastic and coiled spines from documents;
- Locate files on shelves;
- Package files into boxes;
- Prepare the packaging sheet to labeled to each box;
- Lift boxes (max weight 15 kilograms or 30 pounds) into carts and push the cart to a dedicated document disposal office;
- Lift the boxes to unload the cart;
- Follow established procedures in place for disposing of scanned files and/or documents;
- Identify and report to manage any process issues and bottlenecks.
Obligations
- Work onsite 5 days a week during regular business hours. A workday is 7.5 hours and the hours are to be completed between 07:30 and 17:30;
- Keep all documents and proprietary information confidential;
- Meet all tasks and deliverables as identified in Section 4;
- Return all materials upon completion of the contract;
- Delete all electronic forms of correspondence;
- Submit all drafts in hard copy and electronic format;
- Attend meetings and participate in teleconferences as required on site
- Maintain security clearance with no conflict for duration of the contract;
- Maintain all documentation in a secure area;
Requirements
- Must be available to work onsite five 5 days per week
- Must have a valid security clearance of reliability status
- Must be able to read write and speak fluently in English
- Experience using Microsoft 365 and its tools such as Word and Excel.
- A minimum of 6 months experience using document/record management and storage systems such as Sharepoint RDIMS etc.
- Experience in the preparation of report related to the record management activities.
