Job Description

As an Event Operations Coordinator you will be responsible for supporting the planning and postevent processes to ensure seamless onsite operations and event production. This role will also focus on overseeing the daytoday operations of our events warehouse. The ideal candidate will demonstrate strong problemsolving skills the ability to manage inventory and logistics efficiently and work collaboratively with internal teams and vendors to deliver successful events.

What youll do

  • Oversee all warehouse operations including receiving organizing and distributing event materials and equipment.
  • Support event project management needs ensuring timelines and event checklists are communicated and tracked.
  • Manage inventory systems to ensure accurate tracking of all event related items.
  • Support various event administration needs including PowerPoint presentations budget updates COI /vendor management and contract submissions.
  • Assist with all onsite event operations including setup and breakdown.
  • Support postevent evaluations including gathering feedback and assisting with reports on event performance and improvements.
  • Research and negotiate with event vendors submit RFPs and finalize contracts.
  • Supervise the packing and preparation of event supplies ensuring accuracy and adherence to event timelines.
  • Troubleshoot and resolve onsite issues promptly and effectively during events.
  • Maintain the cleanliness safety and organization of the Hagerty warehouse facility.

This Might Describe You

  • A strong desire to be helpful with a solutionoriented mindset.
  • Ability to lift and move heavy equipment as well as operate warehouse machinery such as forklifts (certification is a plus).
  • Strong communication and writing skills. You must be outgoing friendly and relatable. Must be comfortable interacting with people.
  • Problemsolving mentality with the ability to remain calm under pressure.
  • A solid working understanding of modern computers (Windows or Macintosh) and common productivity software (Microsoft Word Microsoft Excel Google Docs). Excellent web browsing skills (Chrome Firefox Safari) and ability to research online.
  • Excellent time management skills you must have the ability to batch work juggle competing priorities to meet deadlines.
  • Flexibility to work irregular hours including evenings and weekends as event schedules require.

Other things to note

  • This position requires the candidate to work from our events office based in Traverse City MI.
  • Familiarity with public company requirements including Sarbanes Oxley and key regulations if applicable. For SOX compliant roles responsible for designing executing and documenting internal controls where they have been identified as owners to prevent errors in financial reporting processes and business operations. Including attestation to the completeness accuracy and compliance of all financial reporting data where applicable.
