Reports to Senior Director of FSQA

Job Summary:

The Document Control Manager will be responsible for overseeing the organization and maintenance of all qualityrelated documentation and process monitoring within Cloverdale. This position plays a vital role in ensuring that all quality management systems regulatory documentation and internal records are uptodate accurate and compliant with company policies and industry standards. The ideal candidate will have to develop and update various technical documents. The candidate should have experience in document control quality assurance and regulatory compliance within the food or meat processing industry.

Office Environment: 40 of the work is conducted in an office setting involving time spent on project management and communication with team members and stakeholders. Frequent participation in both inperson and virtual meetings including project updates strategy sessions and presentations to management and stakeholders.

Production Environment: 55 Regular visits to the production areas will involve exposure to machinery noise varying temperatures humidity and wet conditions.

Travel: <5 Occasional travel for training meetings conferences etc.

Schedule: Flexible schedule including evenings weekends and holidays as needed based on operational requirements.

Qualifications

Key Responsibilities:

  1. Document Control Management:
    1. Oversee the creation organization revision and distribution of quality management documents including SOPs work instructions policies and records.
    2. Ensure all qualityrelated documents are properly stored cataloged and easily accessible while maintaining confidentiality and integrity.
    3. Maintain document control systems to track changes and revisions in accordance with company standards.
    4. Process information through the system and communicate it with stakeholders to ensure accurate measurements and successful product completion.
    5. Ensure proper archiving and retention of historical quality documents to comply with legal and regulatory standards.
    6. Collaborate with Regulatory Manager to maintain accurate HACCP monitoring and verification records.
  2. Regulatory Compliance & Audits:
    1. Ensure that all qualityrelated documents comply with food safety regulatory and industry standards such as FDA USDA and other relevant agencies.
    2. Assist in the preparation and submission of regulatory reports and documents as required by government agencies.
    3. Continuously evaluate and improve document control processes to increase efficiency accuracy and accessibility of quality documentation.
    4. Ensure all corrective and preventive actions (CAPA) are documented and resolved in a timely manner with assistance from other teams.
    5. Regular review document logs to ensure all required records are complete and accurate.
  3. Quality Management System (QMS) Support:
    1. Support the development and maintenance of the companys Quality Management System (QMS) and ensure it aligns with industry best practices.
    2. Work with crossfunctional teams to ensure quality documentation aligns with manufacturing processes product specifications and safety protocols.
    3. Serve as a point of contact for all quality document inquiries and audits.
    4. Facilitate audits with the Regulatory Manager by compiling documentation.
    5. Develop tracking and documentation for all training materials resources and logs for staff related to HACCP SQF and other regulatory requirements.
    6. Other duties as assigned.

Qualifications:

  1. Bachelors degree in food science Microbiology or related field; or equivalent professional experience preferred.
  2. 2 years of experience in document control quality assurance or regulatory compliance preferably in a meat processing environment.
  3. Indepth knowledge of food safety regulations quality management systems (QMS) and document control practices (FDA USDA etc..
  4. Strong organizational and time management skills with a high attention to detail.
  5. Proficiency with document control software and Microsoft Office Suite (Excel Word etc..
  6. Strong written and verbal communication skills.
  7. Ability to work independently and as part of a team in a fastpaced deadlinedriven environment.

Working Conditions/ Physical Requirements:

  1. Regular visits to production areas will involve exposure to machinery high noise levels varying temperatures humidity and wet conditions.
  1. Must be comfortable sharing office space with other professionals and performing repetitive computerbased tasks. This includes extended periods of sitting reaching with hands and arms and using input devices such as a keyboard mouse and other tools. The role requires maintaining focus on detailed screen work for prolonged durations including tasks such as data analysis report preparation and troubleshooting operational issues.
  1. Must be able to sit stand walk reach stretch stoop and bend for extended periods.
  1. Ability to work around ingredients and/or finished products containing food allergens.
  1. Must be able to communicate through various channels including phone email facetoface and videoconferencing effectively building and presenting organized data and plans to key stakeholders.
