Job Description

RESPONSIBILITIES

  1. Team player who will maintain respectful and cooperative working relationships to contribute to the integrated seamless delivery of services to the entire KO community: executives staff clients and communities.
  2. Processing confidential fax transmissions; providing word processing schedules workplans charts reports and other documents; preparing and distributing HCC resource materials assisting with EMR chart maintenance.
  3. Arranging for meeting facilities and assisting with preparation of staff training sessions as required including taking minutes during meetings.
  4. Assist in the preparation of regularly scheduled reports.
  5. Develop and maintain filing systems.
  6. Update and maintain office policies and procedures. This may include the creation or revision of systems and procedures based on identified needs. The HCC Administrative Assistant may identify these needs through analyzing operating practices record keeping systems forms control office layout budgetary and personnel requirements.
  7. Providing administrative support to the HCC Staff; assisting with orientation of new staff; scheduling.
  8. Maintains an inventory of office/HCC equipment and supplies placing and expediting orders verifying receipts of supplies and identifying new transactions and vendors.
  9. Maintain contact lists and act as the point of contact for internal and external clients.
  10. Coordinate with other administrative assistants to coordinate support of shared office services and handle requests and queries from senior managers.
  11. Ensure reliable operation of equipment by completing preventive maintenance requirements calling for repairs maintaining equipment inventories and evaluating new equipment and techniques.
  12. Develops administrative knowledge and skills by recognizing existing skill gaps reviewing professional publications and establishing professional networks.
  13. Maintaining health storage supplies; ordering and distributing medical supplies and equipment; maintaining appropriate inventory controls for the HCC program; access to inventory management system and working with HCC Inventory Manager. Ability to lift 2040 lbs. up flights of stairs.
  1. Working collaboratively with KO warehouse clerk as needed to maintain HCC inventory supplies.
  1. Supports planning and logistics for meetings workshops trainings and other events by identifying meeting needs and sourcing coordinating and delivering solutions. This may include developing meeting budgets invitation lists invitation letters meeting agendas materials and post meeting evaluations. It may also include coordinating correspondence with event participants and external vendors.
  2. Arranging travel and accommodations; processing of purchase orders; liaising with other administrators.
  3. Ensuring accuracy and confidentiality; maintaining a professional rapport with staff communities and external partners.
  4. Adheres to all KO and health Policies and Procedures.
  5. Performs other duties as requested by the HCC RN Manger KO Director of Nursing and KO Health Director.

Knowledge Skills and Abilities

  1. Proven experience as an Administrative or Executive Assistant.
  2. Knowledge of office management systems and procedures.
  3. Experience with basic financial and accounting procedures are an asset.
  4. Working knowledge of office equipment such as printers and fax machines.
  5. Proficiency in MS Office (MS Excel and MS PowerPoint).
  6. Excellent time management and organizational skills and the ability to prioritize work.
  7. Attention to detail and problemsolving skills.
  8. Excellent verbal and written skills in English.
  9. Ability to speak OjiCree Cree or Ojibway is an asset.
  10. Familiarity with Microsoft Tools and a willingness to learn and use other software including electronic charting tools.
  11. Excellent report writing skills.
  12. Must possess a Class G Drivers License and have access to a personal vehicle.
  13. Willingness and ability to travel to the KO remote communities if required.
