Job Description

JOB DESCRIPTION

REPORTS TO: Claims and Insurance Manager

RESPONSIBLE FOR: The postholder will be responsible for a range of administrative duties to include recovery of property/material damage claims small debts and providing secretarial support to the section.


JOB PURPOSE

  • Efficient processing of property/material damage claims.
  • Administrative procedures associated with the recovery of debts.
  • Dealing with routine queries from EA Officers and Principals.
  • Provision of administrative and secretarial support to the Unit.

MAIN DUTIES AND RESPONSIBILITIES


PROPERTY/MATERIAL DAMAGE

  • To process property/material damage claims relating to incidents of fire/special perils burglary and vandalism from schools and other educational establishments.
  • To advise Principals and Managers of educational establishments on the procedures to follow after an incident and to obtain further details on the circumstances surrounding the incident.
  • To collate reports and financial costs on the damage to buildings and on replacing or repairing contents/equipment corresponding with Principals Managers and EA Officers.
  • To collate and process documentation on property/material damage claims for maintained schools to appointed Insurance Broker including financial costs and ensuring that correct payments are received for settlements.

ENTERTAINMENT LICENCES

  • To arrange for the provision of new entertainment licences at EA establishments and renew existing licences at due renewal date.
  • To process appropriate documentation to District Councils for issuing of entertainment licences and to ensure with EA Officers that the necessary property works required by the Council are carried out.

RECOVERY OF DEBTS/OVERPAYMENTS

  • To process small claims and overpayment of wages owed to EA for recovery; preparing written correspondence to debtor to recover monies and establishing links with outside agencies to obtain additional information.
  • To prepare and process appropriate documentation for claims to Small Claims Court and the Enforcement of Judgements Office.
  • To monitor repayments of debts and provide quarterly reports.

GENERAL

  • To provide typing/administrative duties for the section.
  • To deal with routine legal/insurance queries from EA Officers and Principals.
  • To deal with routine land/property queries from EA Officers and Claims and Insurance Manager.
  • To assist with inputting data on pupil/employee accident reports/claims and provide quarterly reports.
  • To ensure confidentiality of certain legal and insurance matters both verbal and written.
  • To deal with any other related duties as may be determined by the Claims and Insurance Manager

This job description will be subject to review in light of changing circumstances and is not intended to be rigid and inflexible but should be regarded as providing guidelines within which the individual works. Other duties of a similar nature and appropriate to the grade may be assigned from time to time.

Hold five GCSE passes (grade A* C) or equivalent including English or Mathematics and a minimum of one years demonstrable administrative/clerical experience in an office environment to include the practical use of computers;

have a minimum of three years demonstrable administrative/clerical experience in an office environment to include the practical use of computers.

Demonstrable experience in the use of Microsoft Office packages .
