Job Summary:

The Medical Assistant (MA) Supervisor is a key member of the care team. The primary responsibility of the Medical Assistant Supervisor is to support the Nurse Manager with managing scheduling and training of the MAs. In addition MA Supervisor is responsible for providing and ensuring efficient patient flow to include patient intake previsit preparation and care team huddle medication administration assistance with clinical procedures and closing the visit. In addition they assist the clinicians midlevel clinicians nurses and patients and provide compassionate quality care to the patients of DAP Health within the scope of practice outlined by state or federal law.

The MA Supervisors responsibility is the expansion of the existing MA responsibilities. This role is responsible for tracking training competency completion gathering feedback and reporting feedback to the Nurse Manager. This role is responsible for keeping an excellent level of competency in both clinical and electronic health record skills.

Supervisory Responsibilities:

  • Review weekly timesheets for accuracy review employee submissions and updates as needed; approve timesheets by required timeline
  • Conduct oneonone meetings (monthly at a minimum frequency preferably biweekly) scheduled conversations and annual performance reviews with direct reports by required timeline
  • Attend mandatory Managers Learning Collaborative trainings
  • Partner with People Operations to:
    • Develop a learning plan for employee development goals to provide tools needed to excel in their position
    • Implement and follow a process to address performance issues as they arise
    • Prepare a comprehensive onboarding process for each specific position for all new hires
    • Address serious issues that may require interventions or investigations
  • Develop and monitor departmental and program/project operating budgets costs and schedules
  • Supervise lead coach and use best management practices to improve staff performance
  • Support and model the identified vision values and behaviors of the organization

Essential Duties and Responsibilities:

  • Know and adhere to scope of practice
  • Help manage provider panel and play key role in the documentation of clinical measures
  • Conduct previsit planning; pursue referral lab and xray reports
  • Obtain and document consents
  • Conduct efficient and accurate patient intake by identifying patients; recording vital signs (including blood pressure pulse respirations pulse oximetry height and weight); documenting chief complaints; performing medication reconciliation; conducting screenings such as vision screening electrocardiogram pulse oximetry audiometry nebulizer spirometry urine dip and blood sugar tests; preparing patients for examinations or procedures by positioning draping shaving and disinfecting treatment sites; and applying motivational interviewing techniques to help patients set selfmanagement goals
  • Conduct patient education in preparation for procedures diagnostic tests etc.
  • Assist the clinician with examination treatments minor surgery dressing changes and splinting
  • Assist the provider in the collection of specimens such as pap smears and throat cultures
  • Administer medication via oral topical vaginal rectal subcutaneous intramuscular and intradermal routes and document all medications given thoroughly
  • Prepare and replenish supplies in the treatment room and exam rooms; maintain exam rooms in an orderly and constant state of readiness for incoming patients
  • Perform historical immunization data entry and print immunization forecast
  • Sterilize instruments and assume maintenance of diagnostic and therapeutic equipment
  • Dispose of contaminated disposable and outdated items per protocol
  • Ensure accurate and timely documentation in accordance with established standards including but not limited to patient intake hybrid processes clinical procedures medication and immunization administration payforperformance forms phone calls prescription refills and result notifications
  • Assist the clinician in closing the visit by reviewing the care plan and discharge instructions with the patient providing hard copies of prescriptions if applicable and printing and reinforcing patient education materials
  • Demonstrate willingness to assist coworkers whenever needed and maintain good working relationship with all clinic personnel
  • Review patient records/forms for accuracy and completion
  • Attend facilitate and actively participate in required meetings huddles and webinars
  • Observe all DAP Health policies and procedures
  • Deliver care in accordance with established standards of care and accepted community standards
  • Understand the organizational commitment to provide high quality patient care
  • Perform other duties as assigned

Qualifications

Qualifications:

Minimum Qualifications (Education and Experience):

  • Medical Assistant certificate or signed training on venipuncture infectious control patient privacy basic anatomy and physiology by Registered Nurse or Physician
  • Must be a qualified medical assistant (CCMA CMA RMA or NCMA) and maintain their certification as needed
  • Three years of work experience as a Medical Assistant
  • Current BLS certification obtained through the American Heart Association or American Red Cross

Knowledge Skills and Abilities:

  • Able to work in a team environment and promote a patient centered environment
  • Excellent oral and written communication skills
  • Effective interpersonal skills
  • Bilingual in Spanish/English (preferred)

Working Conditions/Physical Requirements

  • This position is onsite at a DAP Health Clinic location
  • Ability to lift 24 pounds
  • Operates in a clinical setting at times and requires frequent times of sitting standing walking repetitive motion and talking
  • Available for all shifts and when required able to work evenings and weekends
  • Requires current and valid drivers license and current personal auto insurance as well as reliable transportation
  • Able to travel to DAP Health locations throughout San Diego and the Coachella Valley to provide staffing support and offsite trainings/meetings
  • Involves contact with patients or patient specimens. Exposure to blood body fluids and nonintact skin or tissue specimens is required
  • Handling of biohazardous materials required
