Proposal Coordinator
Position Summary
We are seeking a detailoriented and proactive Proposal Coordinator to support our marketing and business development teams. Reporting to the Senior Marketing Manager this role is integral in ensuring seamless proposal development and while maintaining brand consistency across marketing materials.

The ideal candidate will have strong written and verbal communication skills the ability to manage multiple projects under tight deadlines and a keen eye for accuracy and quality. This position requires someone who thrives independently and in a collaborative team environment effectively balancing multiple priorities in a fastpaced setting.

Key Responsibilities
As a Proposal Coordinator you will:

  • Manage the proposal process from initiation to completion including developing compliance matrices schedules and outlines.
  • Collaborate with internal teams and subconsultants to craft compelling and compliant proposal content.
  • Develop and maintain proposal templates to improve efficiency and ensure brand alignment.
  • Write and edit technical content ensuring clarity consistency and persuasiveness.
  • Coordinate and process inputs from multiple team members weaving content into a cohesive engaging narrative.
  • Organize proposal reviews and status meetings ensuring deadlines and quality standards are met.
  • Prepare and format qualifications packages RFIs RFPs and marketing materials aligned with brand guidelines.
  • Support interview presentations and team preparations as needed.
  • Manage a proposal tracking system monitoring deadlines submissions and success metrics.
  • Contribute to marketing initiatives such as client events award submittals tradeshows and social media engagement.
  • Perform additional duties as assigned to support marketing and business development efforts.

Required Qualifications
  • 3 years of experience in proposal development within the architecture engineering or construction (AEC) industry.
  • Experience with federal proposals (e.g. SF330 designbuild construction formats) is preferred.
  • Bachelors degree in Marketing Communications English Architecture Engineering or a related field (or 5 years of equivalent experience in proposal development).

Skills & Competencies
  • Proficiency in MS Office Suite (Excel Word PowerPoint).
  • Advanced skills in Adobe Creative Suite (InDesign Photoshop).
  • Excellent writing editing and proofreading abilities with a strong grasp of technical content.
  • Ability to interpret RFPs RFIs RFQs and proposalrelated documents accurately.
  • Highly organized detailoriented and capable of managing multiple deadlines.
  • Strong interpersonal skills with the ability to collaborate across departments and with external partners.
  • Experience with marketing communications and PR initiatives including social media strategy is a plus.
  • Selfmotivated proactive and able to thrive in a fastpaced environment.
