The School Secretary plays a vital role in ensuring the smooth operation of the school office. This position serves as the first point of contact for students parents and visitors providing essential administrative support to faculty and staff. The ideal candidate will possess strong organizational skills and a commitment to creating a welcoming environment for all.
Responsibilities
- Perform clerical duties including filing typing and proofreading documents to ensure accuracy.
- Maintain student records and assist with administrative tasks related to enrollment and attendance.
- Coordinate communication between teachers parents and administration ensuring timely dissemination of information.
- Assist in organizing school events and activities providing logistical support as needed.
- Utilize computerized systems for scheduling appointments managing files and maintaining office supplies.
- Participate in meetings ensuring that all required information is completed delivered in advance and available for the appropriate parties.
- Communicate with various internal departments to coordinate projects and/or activities and work closely with external parties in administrative matters. Provide technical information to students staff and the public concerning school policies procedures actions activities and schedules as appropriate.
Skills
- Proven experience as a personal assistant or in office management roles is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent typing skills with attention to detail for accurate documentation.
- Proficiency in proofreading to ensure highquality written communication.
- Familiarity with customer support principles to enhance interactions with stakeholders.
- Ability to work collaboratively in a teamoriented environment while managing individual responsibilities.
- Strong interpersonal skills to foster positive relationships within the school community.
