Job Description

The Executive Assistant provides administrative support to The Vice President & Chief Digital and Information Officer. Under general supervision and working independently performs a variety of duties and facilitates the of projects exercising independent judgment in the support of the administration of information technology management functions of the organization. Interfaces with both internal and external contacts projecting a professional image in all interactions.

This position will work at our Atwater Administration office. Schedule is Monday Friday 8:00am 5:00pm.

Compensation: $69908.80 $73404.24 Annual Salary

Essential Duties and Responsibilities

  • Demonstrates effective communication and problemsolving skills.
  • Provide seniorlevel administrative support for the VP CIO and the leadership within CIOs departments.
  • Prioritize and manage multiple projects simultaneously and follow through on issues promptly.
  • Organize and maintain information security documents reports and records in a secure and easily accessible manner.
  • Gather and compile necessary documentation for internal use and/or for reporting to external regulatory agencies audits etc.
  • Track important deadlines ensuring timely submission of required documents.
  • Coordinate with team members and other departments on deliverables and deadlines.
  • Prepare materials and data visualizations for presentations.
  • Assist with updating policies and procedures.
  • Assist with the initial IT project change and security requests.
  • Coordinate related meetings audits conferences etc. by scheduling and logistics recording minutes and materials and reports.
  • Perform administrative and office support activities such as fielding telephone calls ordering supplies receiving and directing visitors and creating and transcribing correspondence/reports.
  • Maintain VP CIOs calendar plan and schedule meetings conferences teleconferences and travel.
  • Handle confidential information and matters of discretion in a professional manner.
  • Additional duties and projects as assigned.

Physical Demands

  • Lift up to 25 pounds occasionally and push up to 50 pounds (on wheels) on rare occasions.
  • Must be able to hear staff on the phone and those who are served inperson and speak clearly in order to communicate information to clients and staff.
  • Must have vision with or without lenses that is adequate to read memos a computer screen personnel forms and clinical and administrative documents.

Work Environment

The physical environment requires the employee to work indoors primarily in an office setting. The noise level inside is quiet to average. Use of general office equipment is required on a daily basis. Travel may be required at times.

Education/Experience Requirements

Minimum Qualifications:

  • Microsoft Office Proficient (Word Excel Access PowerPoint).
  • Project management and/or coordination experience.
  • Proactive selfstarter with the ability to handle multiple priorities.
  • Excellent organizational skills.
  • Excellent grammar and proofreading skills.
  • Excellent telephone etiquette and customer service skills.
  • Strong verbal and written communication skills.
  • Type at least 50 wpm.
  • Valid California drivers license vehicle insurance acceptable driving record and reliable transportation.

Education/Experience:

  • High School graduate or equivalent.
  • Associates degree in Business Administration or related field or two years of experience in lieu of degree.
  • Minimum of three 3 years administrative experience through increasingly responsible experience in the executive level administrative support.
  • One 1 year of general accounting experience preferred.
