Job Summary:
The Legal Assistant will provide advanced administrative support to attorneys and paralegals in the Legal Department specializing in real estate development and construction law. This position requires a thorough understanding of legal documents and terminology excellent communication skills and the ability to manage a high volume of work in a fastpaced environment.
Responsibilities:
Manage and organize legal files both physical and electronic ensuring easy retrieval and confidentiality.
Managing and coordinating signatures in connection with real estate closings.
Schedule and coordinate meetings and closings managing calendars and travel arrangements for attorneys.
Communicate effectively with internal stakeholders and external attorneys providing professional and courteous service.
Manage incoming and outgoing mail and correspondence including drafting and proofreading letters and emails.
Process legal billing and expense reports.
Assist with due diligence activities related to real estate transactions.
Perform other administrative tasks as assigned such as answering phones preparing reports and managing projects.
Qualifications:
High school diploma or equivalent required; Associates degree or paralegal certificate preferred.
Minimum of 5 years of experience as a legal secretary preferably in real estate law construction law or a related field.
Strong understanding of legal terminology and documentation.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
Excellent organizational time management and prioritization skills with the ability to manage multiple tasks simultaneously.
Exceptional attention to detail and accuracy.
Strong communication and interpersonal skills both written and verbal.
Ability to work independently and as part of a team.
Ability to maintain confidentiality.
Knowledge of real estate closing procedures is a plus.
