Job Description Summary
Reporting directly to the Sociology Departments Administrative Assistant the Student Admin Assistant provides operational support in administrative tasks and office operations to the Sociology Department. The assistant helps with expense reporting creating promotional materials coordinating projects and events responding to inquiries with quality interpersonal skills maintaining department records communicating with the student body updating Sociology webpages and attending events with departmental guests and prospective students. The assistant also supports Wilkinson Colleges Peer Advising program providing Sociology department students with valuable information regarding program evaluations graduation requirements and class details. The ideal candidate will possess strong communication skills attention to detail and the ability to multitask effectively. This role offers an excellent opportunity for a motivated student to gain valuable administrative experience while contributing to the smooth functioning of the department. The selected candidate may begin working as early as June 3rd 2024 but no later than August 30th 2024. The position runs through the end of the 2024/25 academic year. Federal workstudy is not required for this position but having an available FWS reward may allow you to work additional hours.
Responsibilities
Responsibilities Assist with compiling expense reports in Concur. Maintain and organize supplies in Roosevelt Hall. Assist with collecting nonsensitive departmental records such as Syllabi and CVs. Create and distribute promotional materials for various department/college events/programs. Correspond with the Communications Coordinator to continuously update and improve departmental web pages. Respond to all Peer Advising inquiries and schedule appointments as needed. Maintain relevant knowledge of the Sociology department curriculum. Assist in emailing information from the department to the student body. Provide engagement opportunities to students in the Department. Other duties as assigned.
Required Qualifications
Plan to enroll in an undergraduate program at Chapman University during the 202425 academic year. Standard knowledge of Microsoft Office Suite & related programs Demonstrate effective clear and businesslike written and oral communications including solid editing and proofreading skills. Excellent interpersonal skills with diverse groups and individuals at all organizational levels both inside and outside the University. Ability to collaborate with others on projects and independently execute assigned tasks. Ability to gain basic proficiency in graphic design using Canva or Adobe Acrobat
