Job Description

We are seeking an organised Administration Assistant to support our team with various administrative tasks. The ideal candidate will be responsible for managing timesheets reconciling time posted with hours stated on invoices preparing organisational presentations updating HR records managing the administrative side of IT invoices from receiving an invoice up to the payment approval and assisting with onboarding and offboarding processes. This role requires excellent communication skills and the ability to handle multiple tasks efficiently.

Role & Responsibilities

  • Timesheet Management: Compile and manage timesheets for the IT department on a monthly basis including reconciliations back to invoices.
  • IT Invoice Management: Record invoices in IT Tracker and collaborate with accounts payable and business owners for approvals.
  • IT CapexHardware: Maintain monthly records of capitalized assets
  • HR Updates: Provide weekly updates to HR and compile monthly reports.
  • Onboarding & Offboarding Assistance: Assist with the onboarding of new employees and the offboarding of departing employees on a daily basis.
  • Contracts: Assist with the monthly reports for contract renewals and terminations
  • Resource/Agency Checks: Conduct weekly checks and updates related to outsourcing.
  • Mandatory Training Checks: Ensure all employees complete mandatory training and maintain records on a monthly basis.
  • SOPs Checks: Conduct monthly checks to ensure Standard Operating Procedures (SOPs) are up to date and followed by IT Staff
  • Organisational Presentations: Prepare and update organisational PowerPoint presentations on a monthly schedule.
  • Ticket Management: Raise and manage tickets in Jira Service Management system daily to ensure timely resolution of issues.

Qualifications :

  • A good level of education to GCSE/A Level or equivalent
  •  A Batchelors degree (not essential)

Essential

  • Proficient in Microsoft Office 365 (Excel/Word/PowerPoint) 
  • Good listening and problemsolving skills
  • Proactive & Responsive
  • A collaborative approach
  • Clear and concise written and spoken communications skills; including being able to respond to appropriately to different audiences
  • Attention to detail and the ability to record information accurately
  • Ability to plan and prioritise
  • Ability to handle sensitive data in a confidential manner at all times

Desirable

  • Knowledge of Atlassian tools (Jira Confluence)
  • Knowledge of Financial Services and Accounting practices

 

Suitable candidates for this role will be Administration Assistants with experience in similar roles looking for a new challenge or recent graduates with some work experience in a corporate environment looking for their first permanent role.
